At Arkansas Valley Regional Medical Center (AVRMC), our scheduling team plays a vital role in ensuring patients receive timely, coordinated care. We are seeking a detail‑oriented, organized, and customer‑focused Centralized Scheduling Clerk to join our team in La Junta, Colorado.

Position Summary
As a Centralized Scheduling Clerk, you will coordinate and schedule patient exams by working directly with physicians’ offices and patients. You will gather necessary information, provide education on exam preparation, verify insurance requirements, and ensure all scheduling details are accurate and complete.
This is a Full‑Time position.

Key Responsibilities
Scheduling amp; Patient Coordination
  • Coordinate incoming calls from patients and physician offices to schedule, cancel, and reschedule exams
  • Gather and verify all required information needed for accurate scheduling
  • Confirm appointments with patients and providers, including rescheduled or missed visits
  • Prepare and distribute appointment reminders and patient instruction materials
Patient Education amp; Support
  • Provide clear instructions regarding exam preparation, required lab work, and appointment expectations
  • Inform patients and offices of insurance preauthorization requirements when applicable
  • Ensure proper documentation and communication regarding procedures and scheduling details
Documentation amp; System Management
  • Verify orders and match scheduled procedures to physician requests
  • Enter and maintain accurate patient demographic and insurance information in scheduling systems
  • Preregister patients for scheduled services
  • Maintain daily scheduling records, including no‑shows, cancellations, and completed appointments
  • Prepare end‑of‑day schedules and reports
Coordination amp; Workflow Management
  • Maintain and distribute daily preauthorization reports
  • Adjust resource availability based on staff schedules, equipment status, and operational needs
  • Schedule specialized procedures such as mammograms and ensure availability of prior reports when required
  • Collaborate with departments to ensure an efficient and coordinated patient experience
Professionalism amp; Teamwork
  • Communicate clearly and professionally with patients, physicians, and staff
  • Maintain patient confidentiality at all times
  • Demonstrate flexibility and organization in a fast‑paced environment
  • Follow through on assignments and report incomplete work to supervisor
  • Maintain punctuality, attendance, and adherence to organizational policies
  • Participate in department meetings and quality improvement activities
  • Represent AVRMC in a positive and professional manner

Qualifications
Required
  • High School Diploma or equivalent
Preferred
  • One (1) year of scheduling experience, preferably in a healthcare setting
Skills amp; Knowledge
  • Working knowledge of insurance verification (Medicare, Medicaid, HMO, and private insurance)
  • Basic clinical understanding of exams, preparation requirements, and related workflows
  • Strong organizational, communication, and multitasking skills
  • Proficiency with computer systems and scheduling software
