This role analyzes schedules, with the aid of various scheduling tools, to maximize operational efficiencies while aligning with divisional needs and organizational goals. Through collaboration with providers, managers, and divisional leads, the scheduler adapts to changing conditions, minimizing service gaps and ensuring the appropriate allocation of provider resources.

JOB DUTIES AND RESPONSIBILITIES:

  • Develop and maintain provider schedules in alignment with forecasted needs, census trends, block and schedule utilization, and service priorities.

  • Serve as the primary point of contact for scheduling-related inquiries.

  • Analyze real-time data to adjust schedules proactively and resolve conflicts in collaboration with divisional leaders.

  • Optimize scheduling workflows to improve resource efficiency and reduce operational waste (e.g. excessive daily travel)

  • Oversee the configuration, maintenance, and overall functionality of scheduling systems.

  • Support the onboarding of new providers in partnership with leadership, medical affairs, HR, and enrollment teams

  • Ensure scheduling practices align with business priorities through continuous and consistent, clear, and timely communication and collaboration with operations and clinical teams.

  • Monitor provider adherence to contracted shift requirements and promptly address deviations or non-compliance in partnership with leadership to implement corrective measures

  • Generate and maintain detailed reports and scheduling policy documentation, while identifying and recommending process improvements.

  • Assist with provider payroll functions, ensuring accurate and timely submission of hours reconciliation, approvals, paid time off, cost center allocations, and leave tracking.

  • Foster strong working relationships with hospital area managers and other departments to ensure timely communication and alignment of scheduling needs.

  • Performs other related duties as assigned to support department and organizational priorities.

PHYSICAL AND SENSORY REQUIREMENTS:

Must be able to sit for long periods of time. Must have the ability to hear as it related to normal conversation. Frequent use of hands for data entry.

EDUCATION:

Bachelor's degree in health care administration, business administration, or a closely related field and a minimum of 1 year of workforce scheduling experience required; OR associate degree in health care administration, business administration, or a closely related field and a minimum of 1-3 years of workforce scheduling experience required; OR high school diploma and a minimum of 1 year of workforce scheduling experience and 1-3 years of similar healthcare related experience required.

TRAINING AND EXPERIENCE:

Strong analytical, time management, and organizational skills with the ability to manage complex scheduling requirements and competing priorities. Effective interpersonal and communication skills to work seamlessly with cross-functional teams and individual stakeholders. Ability to thrive in a dynamic, fast-paced environment and respond flexibly to changing business needs.
