Job description

Job Summary:

As a Scheduler at Medtrans, you will be responsible for coordinating and maintaining daily schedules for ambulance and paratransit operations. You will ensure that all shifts are adequately staffed, that employees are assigned appropriately based on qualifications and availability, and that scheduling changes are communicated efficiently. Your role is critical in maintaining seamless operations and ensuring that patients receive timely and reliable transportation services.


Key Responsibilities:

  • Prepare, post, and update daily and weekly schedules for ambulance and paratransit crews.
  • Assign shifts, manage schedule adjustments, and ensure proper coverage across all service areas.
  • Coordinate employee requests for time off, shift trades, and schedule changes in compliance with company policy.
  • Monitor real-time staffing levels and respond quickly to call-offs or schedule gaps to ensure operational readiness.
  • Communicate schedule changes promptly to dispatchers, supervisors, and field personnel.
  • Track and maintain employee availability, certifications, and expirations that impact scheduling eligibility.
  • Collaborate with Dispatch and Operations Managers to forecast staffing needs based on volume and service demands.
  • Assist in onboarding new employees by entering them into the scheduling system and assigning initial shifts.
  • Promote positive employee relations by providing professional and respectful communication regarding scheduling matters.

Qualifications:

Education and Certification:

  • High school diploma or equivalent required.
  • Associate degree or coursework in business administration, healthcare management, or related field preferred.

Experience:

  • Minimum of 1 year of experience in scheduling, dispatch, or operations coordination (ambulance or paratransit preferred).
  • Experience using scheduling systems highly desirable.
