Job Summary

The Biology Department is seeking a part-time student employee to assist with daily office operations and administrative support. Under the direction of the Associate Dean of Biology and department staff, this position will provide front-office support, including greeting and assisting students, faculty, staff, and visitors; answering emails and phone inquiries as directed by office staff; helping maintain a clean, organized, and welcoming department office, break rooms, and workroom; maintaining office supplies; assisting with department meetings and student events; helping staff department outreach events; coordinating printing and supply requests; updating department information and directories; scanning and organizing documents; and supporting other administrative projects as assigned. This position requires professional communication and discretion in handling confidential student and department information encountered in the course of daily work. This position offers an opportunity to develop professional office, communication, and organizational skills while contributing to the operations of the Biology Department. Work schedule can be flexible based on class schedule and Federal Work Study Award. This position is estimated to work 10-15 hours a week (depending on Federal Work Study award).

Essential Duties & Responsibilities

  • Greet and assist students, faculty, staff, and visitors in person and by phone in a professional and courteous manner.
  • Answer email correspondence in a timely, professional manner; route inquiries outside the scope of this position to appropriate office staff.
  • Answer phone inquiries as directed by office staff, transferring or escalating calls appropriately.
  • Help maintain a clean, organized, and welcoming department office, break rooms, and workrooms, including tidying common areas, decorating for holidays and restocking supplies as needed.
  • Maintain office supplies, coordinate printing and supply requests, and support day-to-day office operations.
  • Assist with preparation for department meetings and outreach events.
  • Help staff department outreach events, which may be held off-campus, including setup, breakdown, and representing the department to the public.
  • Scan, file, and organize department documents, including records that may contain confidential or sensitive information.
  • Update department directories, bulletin boards, and general information materials.
  • Support other administrative projects as assigned by the Associate Dean or department staff.
  • Handle student records and other sensitive department communications encountered in the course of work in accordance with the Family Educational Rights and Privacy Act (FERPA) and other applicable confidentiality regulations and college policies.
  • Exercise discretion regarding any student, faculty, or staff information overheard, observed, or accessed while performing office duties; do not discuss, repeat, or disclose such information to anyone without a legitimate need to know.
Knowledge, Skills & Abilities
  • Knowledge of general office procedures, equipment, and etiquette.
  • Ability to follow written and oral instructions accurately and completely.
  • Ability to learn new tasks, software, and procedures independently.
  • Self-motivated with the ability to identify tasks and take initiative to assist the department.
  • Ability to maintain a high level of professional behavior, civility, punctuality, and attendance.
  • Ability to communicate effectively and courteously with a diverse population of students, faculty, staff, and visitors, both in the office and at off-campus events.
  • Ability to represent the department professionally at outreach events, including occasional travel to off-campus locations.
  • Ability to take initiative in keeping shared office, break room, and workroom spaces clean, organized, and presentable.
  • Ability to maintain strict confidentiality of student records and department information in compliance with FERPA and college policy, understanding that this obligation extends to information overheard or seen incidentally and applies both on and off the job.
  • Ability to work effectively while managing frequent interruptions.
Minimum Qualifications

Received or eligibility to receive a Federal Work Study Award for Academic Year 2026-2027. Maintain a minimum 2.0 GPA Enrolled in at least 6 credit hours for both Fall and Spring semesters.

Preferred Qualifications

Experience with Microsoft Office; excel, Word, Outlook PowerPoint. One (1) – Two (2) years in customer service or related field Or One (1) - Two (2) years in office or front desk employment.
