Job description

Job Title: Assistant Sales Sample Coordinator

Department: Office

Shift: 1st shift
Employment Status: Non-Exempt
Reports to: VP of FSQ


Position Summary

This Team Member is responsible for supporting the Sales Sample Coordinator with customer sample requests.


Essential Duties & Responsibilities

  • Create product samples by following standard specifications and formulas, ensuring quality and consistency.
  • Assist when needed to create new sample formulas with the Sample Coordinator or take on new formulations on their own. Providing any new formulas and pictures of products to Sample Coordinator when finished. Occasionally maintaining R&D paperwork when needed to record new items and formulations.
  • Organize and maintain accurate records of sample room and kitchen inventory, including raw materials, tools, bulk product and finished product. Monitor stock levels to ensure materials are available when needed and work with inventory team and warehouse for restock of items.
  • Collaborate with Sample Coordinator to ensure accurate and quality samples that meet all deadlines. Communicate any specific challenges that may change the timelines of product shipping out.
  • Occasionally work with the Supply Chain Team if needed to communicate if samples need to be scheduled in production.
  • Work with Quality for any product checks that need to be done prior to shipment.
  • Be a liaison between Sample Coordinator and Production when needed.
  • Be comfortable interacting with the entire office during tastes tests of new products, gathering all necessary feedback if changes are to be made to the samples. Report back to Sales Sample Coordinator.
  • Conduct regular checks to ensure sample accuracy, adhering to company and client and quality standards.
  • Maintain a clean, organized and safe working environment in the sample room and kitchen.
  • Assist Sales Coordinator in new item set-ups by offering knowledge of current products, cases and containers to ensure the product is properly assigned to the right packaging for purchasing and production purposes.
  • Ability to interact with all functions within the organization and the ability to work directly with individuals at all levels and functions
  • Maintain acceptable standards of conduct
  • Regular and reliable attendance is required

Preferred

  • Proficiency in Microsoft Office and manufacturing systems (SAP or similar preferred)
  • Previous experience in sample production, inventory management, or related field.
  • High school diploma or equivalent

Required

  • Ability to verbally communicate proficiently in English to effectively engage with internal teams. Applicant must be proficient in reading and understanding English-language manuals, equipment, instructions, and other documents relevant to the role.
  • Strong mathematical aptitude with proficiency in applying addition, subtraction, multiplication, division, percentages, fractions, decimals, and basic algebraic concepts.
  • Valid Driver's License

Working Conditions & Physical Requirements

  • General production and office environment.
  • Ability to lift and move materials (up to 50lbs) as required.
  • Long periods of standing
