Job description

Overview

The Intake Specialist II will assist new and returning families with scheduling an initial appointment for services in the appropriate clinic. The incumbent will interact with clients, families, clinicians, and administrative staff in a courteous and professional manner while adhering to high standards of customer service and maintaining client confidentiality.

We are seeking a bilingual candidate who is fluent in both Spanish and English. The selected candidate will receive a $1,500 increase to their annual salary upon successfully passing the Institute’s Foreign Language Proficiency certification.

Responsibilities

  1. Serve as liaison between clients, families, and clinicians for intake screening, referral, and placement based on defined clinic criteria for Aliceanna, Fairmount, Patuxent and Odenton locations. Serve as liaison between all Behavioral Psychology departments and other Kennedy Krieger Institute departments.

  2. Complete intakes in EPIC system, including collecting demographic information, insurance information, and the reason of concern for the family seeking services at Behavioral Psychology.

  3. Complete intakes and demographic information (as needed) in EPIC system for Feeding Clinic and Pediatric Consult Clinic. Triage to clinic for scheduling.

  4. Create an Appointment Request in EPIC system for the correct clinic(s) to allow for scheduling.

  5. Schedule, cancel, and/or confirm all Initial Evaluations (IE). Document and verify on Intake Team’s shared calendars within Outlook.

  6. Input IE appointment information into EPIC system.Send an email to Behavioral Psychology Admin Group to ensure proper paperwork is completed, therapists are informed of appointments, and insurance benefits are cleared and entered into account prior to appointment.

  7. Input patient and referral information in the SAM system.

  8. Process and forward daily logs to appropriate personnel at the end of business each day.

  9. Provide support services to families, clients, and other Kennedy Krieger Institute department personnel by answering/following-up on inquiries received via phone, email, or fax for Behavioral Psychology services. Redirect patients to other Institute services using the correct extension or email group as needed.

  10. Process referrals received in the appropriate work queue within the EPIC system from other Kennedy Krieger Institute departments.

  11. Process and schedule appointments from faxed referrals received from external providers.

  12. Maintain all clinic waitlists in the SAM system, if applicable.

  13. Collect and record clinician’s upcoming IE slots on the Intake’s shared MA or Commercial insurance calendars in Outlook.

Qualifications

EDUCATION:

  • High School Diploma, GED, or equivalent required.

  • Associate’s degree in a human services related field or healthcare administration preferred

EXPERIENCE:

  • Minimum three (3) years of experience operating patient systems and providing excellent customer service is required.
