What is a Salesforce Administrator?

A Salesforce Administrator is a professional responsible for managing and configuring a Salesforce platform within an organization. They handle tasks such as user management, data maintenance, creating reports and dashboards, and customizing the system to meet business needs. Salesforce Administrators serve as the primary point of contact for users and ensure the platform is used efficiently and effectively. They also stay updated on new Salesforce features and implement best practices to support business operations.

What is the difference between Salesforce Administrator vs Salesforce Business Analyst?

AspectSalesforce AdministratorSalesforce Business Analyst

Both roles often collaborate but serve different functions within Salesforce projects.

What are some common challenges Salesforce Administrators face when managing user requests and system updates?

Salesforce Administrators often juggle multiple user requests while ensuring the platform remains efficient and secure. A common challenge is prioritizing urgent support tickets alongside larger projects, such as system updates or new feature rollouts. Admins must also balance customization requests with best practices to avoid unnecessary complexity. Effective communication with stakeholders and ongoing user training are key to overcoming these challenges and maintaining a smooth-running Salesforce environment.

Job description

Are you a Salesforce Administrator who thrives in a dynamic, high-growth environment? Do you see a manual process and immediately think of ways to automate it? We are looking for a Senior Admin who is passionate about leveraging the full power of Salesforce to support the rapid growth of our business.

We need a forward-thinking expert who is focused on driving automation, managing complex integrations, and continuously optimizing our Salesforce instance. You should be curious about how AI can increase system efficiency. Above all, you will partner directly with business leaders to identify bottlenecks and remove friction from core processes. Your expertise will ensure our CRM ecosystem operates seamlessly, remaining robust, secure, and aligned with our broader organizational goals.
WHAT YOU'LL DO:
System Administration & Governance
● Maintain system health: Monitor system performance, troubleshoot issues promptly, and execute patches to ensure optimal functionality.
● Ensure data integrity: Perform regular data audits, manage data migrations, and implement best practices for data hygiene and quality across the organization.
● Manage user access and security: Configure roles, permissions, and access controls to ensure data security and compliance with information security standards.
● Clean up legacy configuration: Proactively identify, deprecate, and refactor technical debt, redundant fields, outdated automation (Workflow Rules/Process Builders), and unused AppExchange packages to streamline, modernize, and simplify our legacy Salesforce org.

Automation & Solution Design
● Partner with leadership on AI initiatives: Collaborate to identify and implement AI-driven opportunities (e.g., Salesforce Einstein, Prompt Builder) that increase operational efficiency and automate routine tasks.
● Drive process automation & partner with the business: Proactively identify opportunities to automate core cross-functional workflows utilizing Salesforce Flow to reduce manual effort. Partner closely with stakeholders across all areas of the business—including Sales, Finance, Customer Support, Implementation, Professional Services, and Customer Success—to align processes and eliminate friction.
● Manage the development lifecycle: Oversee sandbox environments and follow a structured release management process for designing, testing, and deploying all system changes.
● Collaborate on requirements: Partner with cross-functional teams to gather business requirements and translate them into scalable, best-practice Salesforce solutions.

User Support, Training & Documentation
● Serve as the first line of support: Troubleshoot user-reported issues and resolve system errors for stakeholders across the organization.
● Empower end-users: Develop and deliver training materials and comprehensive system documentation (configuration details, process flows) to ensure users utilize the system effectively.
● Manage change communication: Own the communication of platform changes, new features, and maintenance windows to end-users and stakeholders.

Upgrades & Continuous Improvement
● Manage system upgrades: Lead the effort for seasonal Salesforce releases by assisting with impact analysis, regression testing, and post-deployment validation.
● Drive continuous improvement: Participate in initiatives to explore automation or AI-driven capabilities to keep the system modernized and efficient.
WHAT YOU'LL BRING:
Experience & Education
● 5+ years of direct experience as a Salesforce Administrator.
● Deep experience supporting complex revenue and services operations with a solid understanding of Quote-to-Cash processes.
● Hands-on experience with Salesforce CPQ (Configure, Price, Quote) is required.
● Experience with Certinia (formerly FinancialForce) supporting Professional Services Automation (PSA) and/or ERP workflows is highly preferred.

Technical Skills
● Salesforce Proficiency: Strong working knowledge of Flow, Custom Objects, Record Types, Reports, and Dashboards. Active Salesforce Administrator Certification (Advanced Admin or CPQ Specialist is a major plus).
● Security & Compliance: Demonstrated ability to manage system security, profiles, permission sets, and change control processes.
● Integrations: Strong experience with third-party integrations and AppExchange packages.

Soft Skills & Competencies
● Systems Thinker: A passion for efficiency, ensuring processes work well together to streamline commercial operations.
● Problem Solver: Excellent analytical skills with a proactive approach to troubleshooting complex system issues independently.
● Communication: Ability to work effectively with both technical and non-technical stakeholders, bridging the gap between business needs and system capabilities.
● Growth Mindset: A self-starter willing to dig into new concepts, make recommendations with limited information, and adapt to emerging technologies (AI/Automation).
