Job description


SUMMARY:

The Sales Coordinator provides administrative and operational support to the Sales team by coordinating quotes, work orders, customer requests, and project documentation. This position works closely with Account Managers, Account Executives, and internal departments to ensure projects move efficiently through the production process while maintaining accuracy, organization, and exceptional customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Sales Support

  • Support Account Managers, Account Executives, and Senior Sales Coordinators with daily administrative and sales support activities.
  • Prepare, review, and process designs, quotes, bids, work orders, and related documentation.
  • Gather and verify project information to ensure complete and accurate work orders.
  • Assist with basic design requests and project revisions as assigned.

Project Coordination

  • Coordinate project workflow by communicating with internal departments to ensure timely processing and completion.
  • Monitor project status and follow up on outstanding items to maintain deadlines.
  • Review quotes, bids, and project documentation for completeness and accuracy.

Administrative Support

  • Maintain organized electronic and physical files.
  • Enter and update information within company software and databases.
  • Assist with department reporting and administrative projects.
  • Adheres to established work schedules and break periods, maintaining consistent attendance and punctuality to support departmental operations and business needs.
  • Attend department and company meetings.
  • Uphold company core values and maintain professional conduct.
  • Perform other duties as assigned.


SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.

EDUCATION, EXPERIENCE, AND QUALIFICATIONS

  • High school diploma or GED required; associate's degree or related coursework preferred.
  • Minimum six months of administrative, customer service, sales support, or office experience required.
  • Strong organizational and time management skills with the ability to prioritize multiple assignments.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently and collaboratively within a team environment.
  • Proficiency with Microsoft Office and the ability to learn company software.
  • Ability to manage multiple priorities in a fast-paced environment while meeting deadlines.
  • Demonstrates reliable attendance and accurately records work time in accordance with company policy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • This position requires regular in-office attendance to support collaboration with the Sales, Design, Production, and Customer Service teams and to ensure timely coordination of customer projects.

LANGUAGE SKILLS:

Ability to read, interpret, and prepare business correspondence, work orders, quotes, and customer communications. Ability to communicate professionally with customers, coworkers, and all levels of the organization.

MATHEMATICAL SKILLS:

Ability to perform basic mathematical calculations, interpret measurements, percentages, pricing, and quantities necessary to prepare accurate quotes, work orders, and project documentation.


REASONING ABILITY:

Ability to prioritize multiple projects, identify discrepancies, solve routine administrative problems, and exercise sound judgment while maintaining accuracy and meeting deadlines.
