Sales Operations Coordinator
Salary Range: $80k-90k
OverviewOur client is looking for a Sales Operations Coordinator, that is fully Japanese Bilingual, for a full time role, that researches and compiles lists of prospective customers for use as sales leads, based on information from newspapers, business directories, industry ads, trades shows, Internet Web sites, referrals and other sources.
The Sales Operations Coordinator manages the operational backbone of the Company's sales function, exercising independent judgment and discretion to coordinate accounts, resolve customer and order issues, and translate business needs between the local sales team, customers, and headquarters in Japan. The role's primary duty is the performance of office and analytical work directly related to the general business operations of the Company including account strategy, forecasting, pricing, and process management and requires the incumbent to plan, prioritize, and make decisions on significant matters largely without close supervision.
Sales Strategy & Business Development
  • Maintains ongoing awareness of challenges affecting the sales function, proactively identifying and acting on opportunities to make sales activities more efficient.
  • Analyzes competitor pricing and positioning, benchmarks the Company's market standing, and recommends pricing or positioning strategy.
  • Develops sales and marketing presentation materials, exercising judgment in selecting content and messaging suited to the audience.
  • Represents the sales function in departmental and strategic planning meetings, contributing analysis on project status and prospective business.
  • Builds and manages relationships with key accounts, determining the appropriate engagement strategy for each, and contributes to achieving agreed-upon sales targets.
Account & Order Management
  • Serves as the primary point of contact for customer communications, independently evaluating and resolving purchase orders, invoices, order changes, and cancellations, and escalating only matters outside delegated authority.
  • Determines and communicates pricing, delivery schedules, and anticipated delays to customers, exercising judgment to manage expectations and resolve conflicts.
  • Manages equipment/tool forecasts and customer samples, analyzing trends and reporting recommendations to management.
  • Evaluates each account's unique requirements and determines how they should be documented and reflected in sales orders, reviewing orders for accuracy and exercising discretion to approve, correct, or escalate discrepancies.
  • Monitors inventory levels and independently determines the timing and quantity of purchase orders.
  • Oversees End-of-Life (EOL) status determinations and negotiates current parts pricing with headquarters.
  • Investigates and resolves customer complaints, Return Merchandise Authorization (RMA) requests, and failure-analysis cases, determining appropriate resolution consistent with Company policy.
  • Reviews customer agreements, identifies issues, and recommends terms or revisions for management approval.
  • Leads the Company's response to customer due-diligence requests (audit, environmental, security, and similar), coordinating internal resources and information on management's behalf.
  • Compiles data and independently prepares analytical reports and recommendations for management.
Operations & Administration
  • Establishes and maintains organized systems for sales files, contracts, and reports in accordance with Company standards.
  • Analyzes and reports on progress, issues, needs, and forecasts to the local team and headquarters in Japan, proactively flagging items that require management attention.
  • Prepares, organizes, and translates correspondence and presentation materials between Japanese and English, exercising judgment to convey business content accurately.
  • Manages scheduling and travel arrangements for the sales team, exercising discretion in prioritization.
  • Identifies and implements process improvements to increase the efficiency and cost-effectiveness of sales operations.
  • Maintains high ethical standards, reports irregularities to management, and recommends resolutions.
  • Maintains effective communication with supervisors, staff, customers, and other stakeholders, and complies with all Company policies and procedures.
  • Maintains a clean and safe working area, including at customer sites.
  • Performs other related duties and projects as assigned, exercising independent judgment and discretion as appropriate.
