Primary Objective

The Operations Specialist is responsible for supporting order management, delivery coordination, and project-related communication for Intelligent Transportation Systems projects. This role serves as a key link between customers, sales, purchasing, operations, vendors, and warehouse teams to help ensure orders are processed accurately, timelines are communicated clearly, and customer needs are handled with urgency and professionalism.

Requirements

Essential Duties and Responsibilities

  • Serve as a primary point of contact for customers regarding order status, delivery schedules, product availability, and related questions or concerns.
  • Provide responsive, professional customer service and support by following up on requests, resolving issues, and communicating updates clearly.
  • Manage order management activities, including order entry support, tracking, delivery coordination, scheduling, and status updates.
  • Coordinate with sales, purchasing, operations, warehouse, and vendor teams to help ensure orders are processed accurately and delivered on time.
  • Partner with the Purchasing department to obtain updated vendor delivery information and provide customers with accurate and reliable order statuses.
  • Monitor open orders and proactively identify delays, missing information, or potential issues that may affect customer commitments.
  • Support project coordination activities by maintaining communication between internal teams and helping track project-related order requirements.
  • Maintain accurate records, documentation, and system updates related to orders, customer communication, and delivery timelines.


Qualifications

Education & Experience

  • Minimum of 2 years of experience in order management, operations support, project coordination, customer service, business administration, or a related role.
  • Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple requests, and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to provide clear updates to customers, vendors, and internal teams.
  • Strong attention to detail and accuracy when entering, tracking, and updating order information.
  • Ability to collaborate effectively with cross-functional teams, including sales, purchasing, warehouse, operations, and external partners.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and related productivity tools.
  • Proactive, solution-oriented mindset with the ability to anticipate challenges, follow through on issues, and support effective resolutions.

Knowledge, Skills and Competencies

  • Experience using ERP systems or order management software; NetSuite experience is a plus.
  • Experience in Intelligent Transportation Systems, traffic management, construction supply, distribution, or related industry.
