Job description

Position Summary

We are seeking a detail-oriented and dependable Sales Accounting Specialist to support the accounting and administrative processes associated with customer sales. This position is responsible for accurately entering sales information, reviewing supporting documentation, preparing invoices, maintaining customer records, and ensuring sales transactions are complete and properly recorded in the company's accounting/ERP system.

The ideal candidate is organized, comfortable working with numbers and data, and able to manage a high volume of transactions while maintaining accuracy. This position works closely with the Sales and Accounting teams to ensure customer transactions are processed accurately and on time.


Key Responsibilities

  • Enter and maintain customer sales transactions in the company's ERP system.
  • Review sales orders and supporting documentation for accuracy and completeness.
  • Prepare and process customer invoices.
  • Verify pricing, quantities, freight charges, and other information before invoicing.
  • Match sales transactions with shipping and delivery documentation.
  • Make corrections and adjustments to sales transactions as necessary.
  • Process customer credits, deductions, and other account adjustments.
  • Maintain accurate customer account information and supporting documentation.
  • Assist with new customer setup and maintenance of existing customer records.
  • Communicate with Sales, Shipping, and Operations to resolve discrepancies.
  • Respond to customer and internal questions regarding invoices and sales transactions.
  • Assist Accounts Receivable with researching payment discrepancies, short payments, and account questions.
  • Ensure sales transactions are recorded in the proper accounting period.
  • Organize and maintain electronic records related to customer sales.
  • Assist with month-end accounting procedures and reconciliations related to sales and accounts receivable.
  • Identify transaction errors or unusual activity and bring issues to management's attention.
  • Perform other accounting and administrative duties as assigned.


Qualifications

  • High school diploma or equivalent required; associate degree or coursework in accounting, business, or a related field preferred.
  • Previous experience in accounting, billing, accounts receivable, order processing, or sales administration preferred.
  • Strong data-entry skills with a high level of accuracy.
  • Comfortable working with numbers and reviewing detailed transaction information.
  • Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
  • Experience working with an ERP or accounting system preferred.
  • Strong organizational and time-management skills.
  • Ability to prioritize work and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work effectively with multiple departments.
  • Dependable, professional, and able to handle confidential business and customer information appropriately.
