Job description

Position Overview

We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in supporting our customer support operations, managing key accounts, and ensuring smooth coordination between sales, warehousing, and finance.

Key Responsibilities

  • Provide customer support and manage communications with key accounts
  • Answering phones, screening phone calls and taking accurate messages
  • Invoicing, handling credit cards payments and keeping Accounts Receivable (A/R) current
  • Process orders and generate invoices accurately and efficiently
  • Forecast equipment needs and manage inventory coordination
  • Handle RMA (Return Merchandise Authorization) processes
  • Coordinate order fulfillment with warehousing and logistics teams
  • Support the sales team with documentation, administrative tasks, and special projects
  • Assist with logistics, as required
  • Maintain and update records using QuickBooks, and QuoteWerks
  • Accounts Payable and Accounts Receivable duties such as posting invoices, and payments

Qualifications

  • Proven experience in administrative support, preferably in a technical or customer-facing environment
  • Strong verbal and written communication skills, professional telephone etiquette, and the ability to handle stressful situations in an efficient, professional manner.
  • Experience in Accounts Payable and Accounts Receivable
  • Attention to detail, can locate discrepancies
  • Proficiency in QuickBooks, and Microsoft Excel
  • Experience with QuoteWerks is a bonus
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Experience with order processing, invoicing, and inventory coordination is a plus
  • Excellent organizational, communication, and problem-solving skills
