Harlem Children's Zone (HCZ) -ย a world-renowned education and poverty-fighting organization based in New York -ย seeksย an enthusiastic, dedicated, and mission alignedย Safety Operation Managerย with the Safety Department.ย 

Theย Safety Operation Managerย will bring a passion for the mission of Harlem Children's Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.ย 

Our HCZ Safety Team is committed to creating safe spaces for our scholars, families, community, and staff members to thrive. We are stationed at 15+ HCZ sites with a team of New York State licensed safety officers. We provide 24-hour support,ย 365 daysย a year, at our 3 Charter School/Community Center locations.ย 

Reporting to the Safety Director, theย Safety Operations Managerย is responsible forย overseeing the administrative aspects of the Safety team. The ideal candidate must be comfortable working in a fast-paced environment and balance the ability to work independently with effective collaboration between the Safety team and the rest of the organization.ย

Requirements

  • H.S diploma,ย Bachelor'sย degree preferredย 
  • 3+ years of related professional experienceย 

Who You Areย 

  • Proficiencyย with Microsoft Office Suite (Word, Excel, PowerPoint) and Outlookย 
  • Strong scheduling and calendar management skillsย 
  • Proven success in administering multiple projects simultaneously and prioritizing workloadย

Whatย You'llย Doย 

Administrative Duties:ย 

  • Maintain employee informationย ย 
    • File absence notes,ย assistย with employee timekeepingย via UltiProย 
    • Update the weekly vacancy reportย 
    • Trackย staff annualย Security Guard training requirementsย 
    • Maintain and update staff contact information, i.e., mobile phone numbers, siteย numbers,ย etc.ย 
    • Coordinate new hire onboarding processย ย 
    • Track hiring progress with candidates to ensure all documents areย submittedย on time.
  • Calendar Management:ย ย 
    • Manage the Director's calendarย 
    • Manage the Events calendar across the departmentย 
    • Establish andย maintainย internal HCZ departmental relationshipsย 
    • Act as Department HR liaisonย 
    • Set up and coordinate meetings and conferences, both internal and external to HCZย 
    • Responsible for updating department databases, including inventory, staffing and others as requestedย 
  • Purchasing and Vendor Management
    • Communicate with vendors for billing inquiries
    • Submit departmental purchase orders, vendor invoices, reimbursements, and other general expenses in a timely manner

Operations Management:

  • Data entry for Certify Me building access systemย 
  • Assistย with training coordination, including obtaining materials for the teamย 
  • Assist Safety Director with key and access code managementย 
  • Assistย Director in keeping alarm codes andย emergency response call lists currentย 
  • On call during working hours toย assistย inย coordinating staff assignments during safety crisisย issues.ย 
  • Assistย with the administration ofย the Fresh Worksย work order, space request,ย andย incidentย reporting systemย 
  • Perform other duties as assignedย 

Scheduleย 

  • Monday, Wednesday, Friday 9 - 5 pm and Tuesday and Thursday 10 - 6 pmย ย
