About the Job: This is an hourly role

As the Office Operations Manager, you will be the key to operational excellence and problem solving within our four walls, building strong relationships with all employees and external partners. You will wear lots of different hats and be an integral part of the team, performing various administrative tasks to support business needs. You will have the unique opportunity to work in a fast paced, vibrant office environment and help shape the future of how we interact with our physical space. What You’ll Do:

  • Ensure the office consistently runs smoothly, keeping track of inventory, meticulously maintaining the facilities budget and expense reports (including managing corporate card purchases across breakroom, events, and office supply needs) and managing all vendor relationships

  • Be the point of contact and coordinate all office services: i.e. coffee, cleaning services, plant maintenance, etc.

  • Ensure all supplies are ordered and well-organized

  • Dynamically optimize the space according to team needs, challenges, and changes

  • Act as chief problem solver within our physical space, proactively identifying areas of improvement, facilitating repairs, cleaning services, and filing tickets

  • Proactively manage requests and suggestions for office improvements; log issues promptly and ensure timely follow through

  • Partner with HR to ensure all new hires are set up for success in their physical workspace

  • Assist the building General Manager in various tasks as needed related to the office, including calendar management

  • Lead in the planning and execution of recurring and one-off events including monthly culture club activities, seasonal celebrations, and the annual summer and holiday parties

  • Lead monthly Culture Club meetings and own the monthly associate events calendar; partner with HR on logistics, ordering, and execution

  • Own the Employee of the Month program, including coordinating nominations, notifying associates, and managing recognition execution

  • Manage recurring food and breakroom ordering across both the manager and associate areas — including weekly team breakfasts, monthly manager meeting lunches, Canteen coffee service, and Staples/Amazon restocking on a monthly cadence

  • Support ongoing operational communications such as bi-weekly GEMBA walk reminders and other standing team cadences

  • Own monthly office newsletter including design and content

  • Own messaging information about building procedures, changes, or alerts

  • Maintain, identify, and communicate office policies and procedures, and ensure they are implemented appropriately

  • Keep up to date with office safety and regulations

The anticipated base salary for this position is $18-28/hr. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held.
