Billing Associate

Position Summary

The Billing Associate position is responsible for billing functions across all divisions of the company. This role works directly with customers and management to ensure accurate and timely invoicing and assists with billing support for other related entities.

Key Responsibilities

Billing Operations

  • Process tickets and billing information on a weekly basis to invoice customers for products and services provided.
  • Verify the accuracy of billing data and correct any errors or discrepancies.
  • Prepare itemized statements, bills, or invoices and record amounts due for items purchased or services rendered.
  • Perform bookkeeping and data entry functions related to billing, costs, and shipment records.
  • Resolve discrepancies in accounting and billing records.
  • Maintain records of invoices and supporting documentation.

Customer & Internal Support

  • Contact customers to obtain or relay account information.
  • Respond to email and telephone inquiries regarding billing, rates, routing, or procedures.
  • Work directly with the sales staff to obtain quoted rates and shipment charges from haulers to complete billing documents.
  • Update computer systems when customer information, orders, haul costs, pricing, or tax rates change.
  • Work directly with management regarding annual price increases, including customer notifications and directing related inquiries to the appropriate personnel.

Reporting & Other Duties

  • Submit month-end reports to management in a timely manner.
  • Assist with month-end closing tasks and reporting.
  • Assist with special projects and audits as assigned.
  • Perform other related duties as assigned.

Qualifications, Skills, & Expertise

  • High school diploma or equivalent required.
  • Prior experience in logistics, supply chain, general accounting, or related field preferred.
  • Demonstrated ability to work independently with minimal supervision in a fast-paced, high-volume environment.
  • Strong attention to detail with well-developed organizational and time management skills.
  • Ability for critical or analytical thinking.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
