Job Summary

The Production Coordinator supports the operations of On Top Roofing by assisting the Operations and Service and Repair department with coordination, execution, and tracking of projects. This role plays a key part in ensuring timely and accurate scheduling, working closely with field teams and external suppliers. The ideal candidate is detail-oriented, reliable, and thrives in a fast-paced construction environment with multiple concurrent priorities.

Essential Responsibilities and DutiesService and Repair
  • Assist the Service and Repair Manager in executing coordination, inventory management, and project completion updates
  • Prepare, process, and verify service/repair orders in accordance with schedules set by Sales and Operations
  • Enter and manage service and repair projects within the scheduling management system, AccuLynx
  • Dispatch calls and updates to the service & repair team
  • Maintain accurate inventory records across On Top Roofing
  • Assist the Accounts Receivable team with delivery ticket uploads, reconciliation, and collection
Operations
  • Assist General Manager with scheduling, administrative priorities, and follow-through
  • Maintain professional communication between the office, field teams, and clients
  • Coordinate projects from post-sale handoff through completion
  • Assist and track permit applications, deadlines, and required documents
  • Maintain organized records of permits, approvals, licenses and inspections
  • Partner with Operations Manager and Project Managers to continuously improve systems, SOPs, and workflows
  • All other duties as assigned
QualificationsQualifications/Skills
  • Strong organizational and problem-solving abilities
  • Ability to think independently and act decisively under pressure
  • Excellent communication and time management skills
  • Communicate professionally by phone, email, and text
  • Visual acuity for close work, distance, depth perception, and peripheral vision
  • Frequent sitting and typing
Education and/or experience
  • High School Diploma required
  • Associate or bachelor’s degree in business, Construction Management, or related field is a plus
  • At least 1 year of experience in scheduling, logistics, or construction supply
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Familiarity with ERP/CRM systems (Acculynx preferred)
