Job description

Financial Aid Manager
Location: Lakewood, CO (Hybrid / Remote Eligible)
Salary: $78,000 - $82,000 per year
Rocky Mountain College of Art + Design (RMCAD) is seeking an experienced, detail-oriented Financial Aid Manager to oversee key operational functions within the Financial Aid Office. This position is responsible for leading the Continuing Financial Aid Advisors and the Packaging Team, ensuring compliance with federal Title IV regulations, and managing critical financial aid operations, reconciliations, system configurations, and audit preparation.
The ideal candidate possesses strong leadership skills, extensive Title IV knowledge, experience managing financial aid staff, and expertise working within Anthology Student and federal financial aid systems.

Leadership amp; Team Management
  • Provide leadership, supervision, coaching, and performance management for the Continuing Financial Aid Advisors and Packaging Team.
  • Monitor team productivity, service levels, and compliance with institutional and federal processing timelines.
  • Assist the Senior Director of Financial Aid in overseeing the daily operations of the Financial Aid Office, ensuring compliance with federal, state, and institutional regulations.
  • Support the Senior Director of Financial Aid in managing departmental operations, strategic initiatives, and regulatory compliance.
  • Foster a collaborative, student-centered culture focused on operational excellence and regulatory compliance.
  • Collaborate with Admissions, Student Accounts, Registrar, Compliance, and Information Technology to improve processes and enhance the student experience.

Title IV Operations
  • Oversee ELM loan processing and disbursements to ensure accurate and timely funding.
  • Manage Title IV credit balance refunds in accordance with federal regulations.
  • Perform monthly and year-end Title IV reconciliations between institutional records, COD, G5, and the general ledger, as applicable.
  • Ensure compliance with all federal, state, and institutional financial aid regulations.
  • Satisfactory Academic Progress (SAP)
  • Manage the institution's Satisfactory Academic Progress (SAP) process.
  • Review SAP evaluations, appeals, probation statuses, and academic plans.
  • Ensure timely student notifications and accurate documentation.

Compliance amp; Audit
  • Coordinate the annual Federal Student Aid (FSA) audit population.
  • Prepare documentation requested by auditors and regulatory agencies.
  • Monitor compliance with Department of Education regulations and institutional policies.
  • Assist with internal and external audits, program reviews, and compliance initiatives.
  • Anthology Student Administration
  • Maintain and configure financial aid functionality within Anthology Student, including:
  • Financial aid document configuration and maintenance.
  • Packaging budgets and Cost of Attendance (COA) setup.
  • Disbursement schedules.
  • Financial aid workflow configuration and testing.
  • System validation for new regulatory requirements and institutional enhancements.
  • Collaboration with Information Technology and third-party vendors to implement and test system updates.

Minimum Qualifications
  • Bachelor's degree required; Master's degree preferred.
  • Minimum of 3–5 years of progressive Financial Aid experience.
  • Previous supervisory or management experience required.
  • Extensive knowledge of Title IV federal financial aid regulations.
  • Experience with Anthology Student (CampusVue/Anthology) preferred.
  • Experience with COD, NSLDS, FAFSA Processing System, and ELM Resources.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent written and verbal communication skills.

Preferred Qualifications
  • Experience leading financial aid operations and packaging teams.
  • Experience with financial aid audits and compliance reviews.
  • Experience performing Title IV reconciliations.
  • Experience configuring financial aid systems within Anthology Student.
  • Knowledge of Return of Title IV (R2T4), Pell Grant, Direct Loan, Federal Work-Study, and Satisfactory Academic Progress regulations.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and regulatory compliance.
