Job description

Summary of Responsibilities:

The Sales Operations Specialist is responsible for managing the administrative and operational functions that support the leasing process. This position ensures leasing documentation, resident files, reporting, and property records are maintained accurately and timely while supporting the Leasing Consultant and property management team. The Sales Operations Specialist plays a critical role in creating efficient leasing operations that contribute to occupancy goals, resident satisfaction, and regulatory compliance.

Primary Responsibilities and Objectives:

·         Support the leasing team by managing administrative functions throughout the leasing lifecycle.

·         Prepare lease agreements, addenda, renewals, notices, and other leasing documentation.

·         Process completed lease files for accuracy and compliance.

·         Maintain confidential resident files.

·         Process renewal documentation.

·         Maintain accurate records in Yardi or similar software.

·         Coordinate move-in and move-out administration.

·         Prepare move-in packets.

·         Monitor leasing documentation for compliance.

·         Complete weekly and monthly leasing reports.

·         Process resident correspondence.

·         Answer incoming telephone calls.

·         Provide clerical support including filing, scanning, data entry, and invoice processing.

·         Process resident work order requests.

·         Maintain compliance records.

·         Assist with audits.

·         Coordinate electronic signatures.

·         Maintain document retention standards.

·         Support resident retention through renewal administration.

·         Maintain confidentiality.

·         Comply with company policies and applicable laws.

·         Perform other duties as assigned.

Education and Experience:

·         High school diploma or equivalent required

·         Associate degree preferred

·         Previous multifamily experience preferred

·         Two to three years of experience in property management is required

·         Prior experience in Yardi Voyager and another equivalent system is preferred

Skills and Requirements:

·         Strong organizational skills and attention to detail.

·         Excellent written and verbal communication.

·         Ability to manage multiple priorities.

·         Strong customer service skills.

·         Proficiency in Microsoft Office.

·         Ability to maintain confidentiality.

·         Strong data entry skills.

·         Ability to work independently and collaboratively.

·         Ability to operate standard office equipment.

·         Knowledge of Fair Housing preferred.

Scheduling:

·         Required to maintain a regular schedule, which may include working outside business hours, weekends, and non-traditional holidays

·         Ability to travel (35%)

Environment:

·         Exposure to an environment typically found in an office building

Physical Requirements:
