Compensation: $30-$33/hour (Non-Exempt, Hourly)
Department: Operations
Location: New York, NY (4 days in office)
Position: Hybrid, Full-Time
Position Overview:
We're looking for a highly organized and detail-oriented Coordinator to support the day-to-day execution of our retail operations. This role is responsible for coordinating retail order fulfillment, supporting supply chain operations through internal transfers and work orders, and overseeing our company gratis program.
Working closely with our Retail Operations & Supply Chain Manager, an ideal candidate thrives in a fast-paced environment, enjoys solving problems, can effectively manage multiple priorities simultaneously, and is comfortable adapting quickly as business needs evolve. Success in this role comes from exceptional organization + attention to detail, and a proactive approach to ensuring orders move efficiently from placement through delivery.
Key Responsibilities:
Retail Order Management & Fulfillment
  • Coordinate the execution of outbound wholesale orders from purchase order through successful delivery.
  • Monitor retailer purchase orders, shipping schedules, and fulfillment timelines to ensure on-time delivery.
  • Partner closely with third-party logistics (3PL) providers to prioritize shipments, resolve issues, and follow supplier guidelines.
  • Communicate proactively with retailers regarding shipment status, routing requirements, delivery appointments, and order exceptions.
  • Monitor retailer compliance requirements and help minimize chargebacks through accurate execution.

Supply Chain Operations
  • Create and manage internal inventory transfers and work orders to support inventory availability.
  • Partner with Supply Chain to ensure inventory is positioned appropriately to support retailer demand.
  • Support continuous improvements to operational workflows and fulfillment processes.

Gratis Program Management
  • Manage the day-to-day execution of the company's gratis program.
  • Coordinate order approval, processing, and shipment of gratis requests.
  • Support larger requests for conferences, influencer events, etc.

Systems & Operational Support
  • Utilize business systems to process and monitor orders, inventory, and operational activities.
  • Support day-to-day activities within ERP (NetSuite), EDI, retailer portals, and transportation management systems where necessary.
  • Assist with troubleshooting order exceptions, EDI issues, and operational discrepancies.

Qualifications:
  • Bachelor's degree preferred.
  • 1-3+ years of experience in retail operations, supply chain, logistics, customer operations, or a related field.
  • Exceptional organizational skills with outstanding attention to detail.
  • Strong written and verbal communication skills with the ability to work effectively across internal and external partners.
  • Ability to manage multiple priorities while maintaining accuracy in a fast-paced environment.
  • Self-motivated, resourceful, and adaptable with a proactive problem-solving mindset.
  • Proficient in Microsoft Excel and Microsoft Office Suite.
  • Experience working with retail/B2B order fulfillment via 3PL providers is preferred.
  • Experience with ERP systems (NetSuite preferred), EDI platforms (TrueCommerce), retailer vendor portals, and/or transportation management systems are all a plus!
  • A basic understanding of international shipping logistics and required transportation documents is a plus!
