The Ponte Vedra Inn & Club is looking for individuals with upscale retail experience. These individuals will provide exceptional, unparalleled 5-Diamond customer service to the Resort Guest, the Private Club Member, and to individuals who require oceanfront excellence as their shopping backdrop.
JOB SUMMARY:The Retail Inventory Systems Coordinator supports the Retail Operations team by accurately entering and maintaining inventory data within Jonas Club Management Software.
This role is responsible for entering purchase information provided by the Buying Team, maintaining organized system records, and ensuring item data is complete and accurate prior to merchandise arrival.
The ideal candidate is highly detail-oriented, organized, and comfortable working with data in a structured environment. This position focuses on execution, accuracy, and consistency while supporting the Inventory Supervisor and Accounting team.
ESSENTIAL DUTIES & RESPONSIBILITIES
Order Entry & Item Setup
  1. Enter purchase orders and buy sheet information into Jonas Club Management Software.
  2. Create and maintain accurate SKU records, including descriptions, cost, retail pricing, and vendor information.
  3. Ensure all required item details are entered correctly prior to merchandise receipt.
  4. Maintain consistent product naming and categorization standards.

Data Accuracy & Record Maintenance
  1. Review data entries for completeness and accuracy.
  2. Maintain organized digital records of purchase documentation and vendor information.
  3. Update item information as directed by the Inventory Supervisor.
  4. Identify discrepancies and notify the Inventory Supervisor for review.

Reconciliation Support
  1. Assist in preparing system documentation needed for invoice matching.
  2. Support the Inventory Supervisor in maintaining accurate system records for reconciliation.
  3. Communicate order entry errors or vendor inconsistencies promptly.

Team Collaboration
  1. Work closely with the Buying Team to ensure timely and accurate entry of merchandise information.
  2. Provide basic order status updates as requested.
  3. Follow established processes and procedures to support operational consistency.

QUALIFICATIONS
EDUCATION
High school diploma or equivalent required.
EXPERIENCE
  • Previous data entry, retail administrative, or inventory support experience preferred.
  • Experience with POS or inventory systems is a plus but not required.
  • Jonas Club Management Software experience preferred but not required (training provided).

SKILLS & ABILITIES
  • Strong attention to detail and accuracy.
  • Comfortable working with numbers and data entry.
  • Good organizational and time-management skills.
  • Basic proficiency in Microsoft Excel.
  • Clear communication skills.
  • Ability to follow established procedures and maintain confidentiality.

PHYSICAL REQUIREMENTS
  • Must be able to work in an office environment within the Retail department.
  • May assist with stock handling up to 50 lbs as needed.
