Job description

University of Iowa Healthcare Department of Nursing is seeking a Clerk IV to perform  real time staffing, and data entry for time cards  requiring the exercise of some independent judgement and the application of basic staffing and payroll policies, guidelines, and procedures. Duties will involve the use of computer terminal  and a variety of software and/or conventional office equipment. 

Characteristic Duties and Responsibilities:

  • Collects information, prepares, reviews and analyzes data, such as reports, records, etc., applicable to employee timecard management requiring independent informational search and a knowledge of the policies and procedures of both the assigned and related work areas.

  • Maintains a complex database that requires specialized subject matter knowledge.  Analyzes the data to maintain the database and generate reports. Troubleshoots employee timecard problems for staff.

  • Demonstrates basic knowledge of policies and procedures regarding payroll, including FCGL, FMLA as well as other pay types (e.g. overtime, comp., holiday, worker's comp, etc.)

  • Serves as a resource, advising staff and nursing leadership, for issues/concerns regarding timecards and payroll requiring interpretation of policies and procedures related to timecard management and employee benefit time.

  • Composes correspondence requiring judgment in the application of timecard and payroll policies and procedures in both the assigned and related work areas

  • Creates in collaboration with nursing leadership and unit Charge RNs real time staffing plans for 25 individual inpatient units inside 3 adult inpatient divisions utilizing specialized subject matter knowledge; troubleshoots preliminary staffing plans prior to finalization and disseminating plan

  • Demonstrates basic knowledge of policies and procedures regarding payroll, including FCGL, FMLA as well as other pay types (e.g. overtime, comp., holiday, worker's comp, etc.)

  • Serves as resource person for supervisory and administrative staff on patterns, policies, and procedures pertaining to staffing plans/targets/grids.  Escalates issues and question as appropriate to nursing leadership

  • Keeps nursing leadership informed of challenges and changes related to staffing practices, plans, and scheduling patterns

  • Assures electronic processes related to staffing plans are completed timely and efficient

Shift: day shifts, Monday through Friday, 40 hrs/week, rotating holidays, opportunity for additional hours worked

Minimum Eligibility Requirements:

  • Any combination of progressively responsible related clerical office experience, related undergraduate education, and/or post high school clerical training that is the equivalent to four years of full-time employment

Desirable Qualifications:

  • Demonstrated knowledge of ELMS
  • Experience with staffing patterns, staff assignments for inpatients units
  • Demonstrated knowledge of the AFSCME & SEIU Union Contracts
  • Demonstrated strong problem-solving skills
  • Demonstrated ability to work independently, organized, detail oriented, and able to prioritize multiple tasks in a fast-paced, dynamic environment
  • Knowledge of the University of Iowa Healthcare policies, procedures, and regulations
