About the Role

We're looking for a highly organized, positive, and adaptable Cross-Functional Administrative Specialist to serve as the heartbeat of our office.

This role combines Accounts Payable, Front Desk Reception, and Social Media Management, making it ideal for someone who enjoys variety, loves staying organized, and takes pride in creating exceptional experiences for both customers and teammates.

Every day is different. One moment you'll be greeting customers, the next you'll be processing invoices, coordinating vendors, or sharing photos of completed restoration projects on social media. What You'll Do Accounts Payable & Administrative Support
  • Process vendor invoices accurately and on time
  • Enter receipts and invoices into system
  • Maintain organized financial records and documentation
  • Communicate with vendors regarding invoices and payment questions
  • Assist with expense tracking and office purchasing
  • Support accounting and management with administrative tasks
Reception & Customer Experience
  • Welcome customers, vendors, and visitors with professionalism and warmth
  • Answer incoming phone calls and direct inquiries appropriately
  • Coordinate incoming and outgoing mail and deliveries
  • Maintain an organized, welcoming front office
  • Assist customers with questions and connect them with the appropriate team member
  • Support office coordination as needed
Social Media & Brand Support
  • Capture photos and videos of completed projects, team events, and company activities
  • Create engaging social media content aligned with our brand
  • Schedule and publish posts across company platforms
  • Monitor comments and messages, responding or routing inquiries appropriately
  • Help showcase our culture, community involvement, and restoration success stories
  • Work with leadership to promote recruiting, customer education, and company updates
Office Coordination
  • Help keep daily office operations running smoothly
  • Support multiple departments as priorities shift
  • Assist with special projects and company events
  • Look for opportunities to improve processes and organization
