Job description


The Office/HR Administrative Assistant provides administrative support to the Human Resources team by maintaining employee records, coordinating recruitment and onboarding activities, processing HR documentation, and assisting with employee relations and compliance activities. This role helps ensure efficient HR operations and a positive employee experience.
The range is $44,000 - $60,000 per year. Exact salary offered will depend on candidate's experience, work location, skills, etc.

Duties:
  • Participate in weekly staffing calls with HRM and Talent Acquisition Specialist.
  • Facilitate pre-employment drug screenings for candidates offered positions.
  • Schedule and conduct hourly new employee orientations per HRM guidance.
  • Complete hourly payroll adjustments with management and HRM approval.
  • Assist, as needed, with workers compensation administration, leave of absences, return with restrictions etc.
  • Monitor and track vacation requests for all employees.
  • Assist HRM to keep accurate and secure employee records.
  • Assist HRM with annual benefits open enrollment meetings for all employees.
  • Keep all employee communication boards up to date and organized including federal and state postings.
  • Update and audit employee disciplinary tracker.
  • Coordinate, schedule, and participate in onsite job fair events.
  • Assist hourly employees with paycheck questions/issues. Partner with the Payroll department or HRM as needed.
  • Provide support to employees with benefits related questions/issues. Partner with the Benefits department or HRM as needed.
  • Handle live checks and distribute accordingly.
  • Manage and update uniform ordering portal. Review invoices.
  • Assign keycards to employees for building access.
  • Other administrative duties assigned by HRD or HRM.

Requirements:
  • Minimum of an Associates degree.
  • Minimum of 1-3 years of HR administrative experience, preferably in manufacturing or warehouse environment.
  • Familiarity with Employment Laws and HR best practices.
  • Proficient in Microsoft Office Suite: Outlook, WORD, Excel and PowerPoint.
  • Conduct oneself with highest level of professionalism at all times.
  • Conflict resolution and problem solving skills.
  • Strong oral, written and presentation communication skills.
  • Good organizational, planning and follow up skills.
  • Ability to work in a fast-paced changing environment.
  • Candidate must be a self-motivated and able to learn as they go.
  • Bilingual in English/Spanish required.
  • Understanding of common employee benefits details, a plus.
  • Experience working in a union environment is strongly preferred.

Physical Requirements:
  • Ability to sit and stand for extended periods.
  • Ability to wear all safety PPE required such as steel-toed shoes and earplugs when walking the plant floor.
