Job description

The Human Resources Associate 1 (HRA-1) will provide professional support for Human Resources (HR) activities within the Department of Student Affairs; under administrative direction, manage HR functions for the department, including searches, onboarding, compliance, and serves as a point of contact for HR matters for department employees.

This role requires an individual who is comfortable in a fast-paced, high-volume environment. The successful candidate will be able to recognize priorities and plan between multiple departments. Under administrative direction, serve in a consulting/advising capacity with university administrators, staff, and/or external constituents.

Duties & Responsibilities:

  • Primarily responsible for all activities related to initiating and processing hires for Student Affairs departments.
  • Assist with managing the human resources life cycle for all employee classifications, including recruitment, selection, onboarding, appointment and payroll processing, performance reviews, leave reporting, retention and exit, and other HR-related duties.
  • Partner with the hiring manager and/or unit manager to assist with the development of job descriptions and the overall search, recruitment, and selection process for all employee classifications (academic, professional, civil service, extra help, graduates, student employees), including conducting reference checks, extending, and negotiating offers.
  • Serve as a resource to search committees to provide guidance and information related to searches (recruitment/interviewing resources/tools) and communication relating to the progress and status of the search and selection process.
  • Collaborate with campus offices on all HR life cycle and employment processes as needed.
  • Ensures compliance with federal and state regulations (Policy and Rules, Statute and Rules, SUCSS and the UIC Access/Equity Program) in all employment activities. 
  • Works collaboratively with SA Payroll to ensure N/E employees are imported into KRONOS (SA Payroll's time entry system).
  • Acknowledge and process HR requests in the TDX (Student Affairs' Online Ticketing system). 
  • Provide ticket holders with routine updates on hiring requests and other HR activities by accurately documenting in TDX.
  • Resolve tickets accordingly to provide information on the current HR Workload and meet service-level goals.
  • Ensures all transactions are processed and submitted to appropriate campus offices for final processing in a timely manner.
  • Serve as a resource to managers and employees, providing expertise and  guidance on HR related matters, including university policies and procedures.
  • Serve as liaison to the Office of International Services to coordinate visa and immigration processes for international hires, staff, students, and visiting scholars.
  • Attend and participate in various cross-functional meetings and sessions related to HR at the department, college, and campus levels.
  • Manage day-to-day office operations. Interview, hire, orient, lead, mentor and evaluate staff to meet departmental and organizational needs.
  • Perform other related duties and participate in special projects as assigned.
