SUMMARY: Provides professional and confidential administrativesupport to Human Resources. This incumbent act as a liaison between HR andemployees, ensuring smooth communication and prompt resolution of requests andquestions. 

PRIMARY RESPONSIBILITIES: 

HumanResource Administration 

  • Support all HR staff with administrative tasks 
  • Monitor and coordinate HR Inbox for general inquires, resumes, documentation, etc. and forward to appropriate contact for follow up including employment verification letters 
  • Retrieve, date stamp and distribute incoming/outgoing mail, courier requests 
  • Assists with employee file retrieval, including terminated and/or off-site storage files. 
  • Updates Human Resource Intranet as required 
  • Updates and maintain the Organization database and HRMS for all areas of conditions of employment; including follow up of required educational verification and/or confirm with internal candidate file 
  • Maintains Work Break Orders and Averaging Permits (Employment Standards) for The Link Programs 
  • Attends and contributes to all appropriate meetings and related committees 
  • Assist with HR Reporting and Projects as required 

Onboarding 

  • Arrange new hire orientations  
  • Prepare and assist with hire packages for new employees 
  • Assists in organizing and implementing human resources workshops, lunch & learns, etc. 
  • Receives and updates tracker with reports from The Link Scheduler/Training Coordinator; including but not limited to, First Aid/CPR, NVCI, Suicide Intervention, Child and Adolescent Development, Intro to Youth Care Practice; etc. 
  • Coordinates Onboarding Tracker and schedules follow-ups 

OrganizationAdministration 

  • First point of contact for Human Resources Department 
  • Creates and maintains a position or desk reference  
  • Adheres to established standards for documentation, correspondence, email and filing 
  • Participates in compliance training for the position as defined in The Link policy 
  • Other duties related to Human Resource functions 

    Employment/Recruitment 

    • Receive and review posting requests, ensuring all required information is accurate and brand consistent.  Upon approval, post positions on Intranet through Recruitment software.  Distribute postings to external organizations.  Create electronic and hard copy competition folders with applicable documentation added for next recruitment efforts 
    • Manage and maintain applicant tracking system 
    • Assists with collection of resumes, compiling screening guides then forwards competition files to the Human Resource Consultant or Supervisor for screening. Schedules all interviews for HR or people leaders 
    • Complete reference check as required 
    • Requesting, following up and processing Criminal Reference Check w/VS, Child Abuse Registry Checks, Adult Abuse Registry Check (if applicable), Prior Contact Checks (PCC) for all new employees.  Update the Checks Tracking database   
    • Send for Follow up on positive PCC checks with applicable agencies    
    • Provide clearance emails, or status updates on new hires to Supervisors for ALL forms of required documentation   
    • Responsible for organizing job fair booth and materials for recruitment purposes. Also attends job fairs as needed 

    EXPERIENCE:

    • Minimum 1-2 years administrative experience
    • Experience working with databases 
    • Experience within the child welfare system is an asset 
    • Knowledge of Indigenous language and culture is an asset
    • Excellent organizational and time management skills
    • Intermediate computer proficiency: Windows, MSOffice (Word, Excel, PowerPoint, Outlook, SharePoint etc.)
    • Excellent interpersonal, organizational and communication skills
    • Willingness to complete orientation and in-service training as per The Link policy
    • Ability work independently and as part of a team

    CONDITIONS OF EMPLOYMENT: 

    • Satisfactory Criminal Record Check with Vulnerable Sector Search, a clear Child Abuse Registry check with acceptable Prior Contact checks and a clear Adult Abuse Registry check, all done within the last 3 months

    HOURS OF WORK: Full-time - 35 hours per week. Primary work hours will be during the daytime - Monday to Friday from 8:30 am to 4:30 pm with a one-hour unpaid lunch (please note this position is located on-site only). However, the role may require occasional evening or weekend work based on the needs of the organization.
