How does a reservations coordinator handle high-volume booking periods, and what support is available?

During peak booking periods, a Reservations Coordinator often manages increased call and email volumes by utilizing specialized reservation software and collaborating closely with team members to ensure efficiency and accuracy. Many organizations provide additional support, such as temporary staff or cross-training team members, to help manage the workload. Coordinators may also work closely with other departments, like sales and front desk teams, to resolve overbooking issues and accommodate guest requests. Maintaining strong organizational and communication skills is key to thriving during these busy times.

What are the key skills and qualifications needed to thrive as a reservations coordinator, and why are they important?

To thrive as a Reservations Coordinator, you need strong organizational skills, attention to detail, and experience in customer service, often supported by a diploma or relevant hospitality training. Familiarity with reservation management systems (such as Opera or ResNexus) and proficiency in office software are typically required. Excellent communication, problem-solving abilities, and a calm demeanor under pressure help set top performers apart. These skills and qualities are crucial for ensuring accurate bookings, client satisfaction, and smooth operations in hospitality or travel settings.

What is the difference between Reservations Coordinator vs Front Desk Agent?

AspectReservations Coordinator

  • Typically requires customer service skills, communication, and organizational abilities.

Compared to a Front Desk Agent, the Reservations Coordinator often handles more complex booking systems and customer interactions, while Front Desk Agents manage daily guest check-ins, check-outs, and general front desk duties. Both roles require strong communication skills and familiarity with reservation software, but Reservations Coordinators usually have a broader scope in managing reservations and customer data.

What does a reservations coordinator do?

A reservations coordinator manages booking and scheduling for clients or guests, ensuring accurate and timely reservations. They communicate with customers, use reservation systems or software, and handle changes or cancellations to provide efficient service. Strong organizational and communication skills are essential for this role.

Job description

Description:

Community Experience Coordinator

Two Step Farm | Montgomery, TX

$23–$25/hour + Comprehensive Benefits + 16 Paid Holidays

Hiring range based on experience, skills, and qualifications.

Collaboration. Authenticity. Connection. Balance.

At Cohere, we believe community is the most valuable amenity.

We do more than manage communities—we help create places where people connect, belong, and thrive. By partnering with some of the nation’s most innovative residential communities, we create places residents are proud to call home and where meaningful relationships flourish.

We’re looking for a Community Experience Coordinator to join our team at Two Step Farm, a one-of-a-kind residential community in Montgomery, Texas. Spread across approximately 2,000 acres and planned for 4,000 homes, Two Step Farm brings a distinctly Texas personality to community life with thoughtfully designed amenities, an authentic dance hall, an on-site café and workspace, and gathering places created to bring people together.

And it’s just getting started!

With approximately 100 homeowners today and continued growth ahead, this is an opportunity to help shape the resident experience from the early days of the community.

In this role, you’ll be one of the first faces residents and guests see—creating a welcoming front-of-house experience, building relationships with homeowners, supporting events and reservations, and helping bring community life to life both in person and through creative communications.

If you’re high-energy, adaptable, naturally hospitable, and the kind of person who sees something that needs to be done and jumps in, we’d love to meet you.

Why People Choose Cohere

The best communities are built by people who feel supported, valued, and empowered to do their best work. That’s why we invest in benefits, time away, and professional growth that help our team members thrive both personally and professionally.

Highlights include:

  • Medical coverage available on your first day
  • Employer-paid dental coverage
  • Vision coverage
  • 401(k) retirement plan
  • Employer-paid Life Insurance, AD&D, and Long-Term Disability coverage
  • Pet insurance options
  • Employee Assistance Program with mental health, financial, legal, and family support resources
  • Travel assistance and identity theft protection
  • Complimentary will preparation services
  • Generous paid time off
  • 16 paid holidays each year, including a Birthday Day and Volunteer Day, in addition to PTO
  • Professional development and growth opportunities

What You’ll Do

Create a Standout Resident & Guest Experience
  • Serve as a welcoming, visible front-of-house presence for homeowners, guests, builders, vendors, and community partners.
  • Build genuine relationships with residents by learning names, understanding what matters to them, and helping them feel connected to the community.
  • Provide thoughtful hospitality and support throughout community spaces, events, tours, and day-to-day interactions.
  • Help residents and guests navigate questions, resources, programs, and community opportunities while following through to ensure needs are addressed.
  • Conduct community tours and help share the Two Step Farm story with prospective residents and guests.
Bring Community Experiences to Life
  • Plan and execute smaller resident events and engagement experiences designed to create connection and participation.
  • Support larger community and marketing events alongside the Engagement team, including logistics, vendor coordination, welcome tables, setup, on-site execution, and breakdown.
  • Coordinate an assigned portfolio of external event and venue reservations from scheduling and client communication through event-day execution.
  • Help create memorable experiences by noticing the details, anticipating needs, and stepping in wherever support is needed.
Connect Through Creative Communication
  • Create engaging social media content, event promotions, digital updates, and resident-facing materials.
  • Use Canva or other creative tools to develop graphics and materials that reflect the personality of the community.
  • Help tell the story of what’s happening in the community and encourage residents to get involved.
  • Monitor community email and text channels and provide timely, thoughtful responses to guest questions and requests.
Be Part of a Growing Community
  • Work closely with the Engagement team and other community partners to support an evolving resident experience.
  • Stay flexible as priorities, events, and community needs change.
  • Take ownership of details and follow through rather than simply handing things off.
  • Look for opportunities to improve the experience, strengthen relationships, and leave each interaction better than you found it.

What We’re Looking For

  • 1–3 years of experience in hospitality, community engagement, events, higher education, resident life, customer experience, communications, or a related field.
  • Associate’s or Bachelor’s degree in Hospitality Management, Communications, Event Management, Business, Education, or a related field preferred.
  • Experience creating welcoming, high-touch experiences for guests, residents, students, customers, or event attendees.
  • Experience supporting or coordinating events, programs, venue operations, or community experiences.
  • Comfort creating social media content, graphics, or promotional materials using Canva or similar tools.
  • Strong written and verbal communication skills and the confidence to interact with a wide variety of people.
  • Highly organized with the ability to manage multiple priorities while keeping track of the details.
  • High energy, a can-do attitude, and the ability to adapt when plans change.
  • A natural relationship-builder who enjoys being visible, approachable, and present.
  • Willingness to learn, take initiative, solve problems, and jump in where needed.
  • Proficiency in Microsoft Office and the ability to learn new technology and systems.

Additional Requirements

  • This is a full-time, on-site position in Montgomery, Texas.
  • Ability to consistently work the anticipated schedule of Monday–Wednesday and Saturday, 9:00 a.m.–6:00 p.m., and Sunday, 12:00–5:00 p.m., with some flexibility based on community needs and event schedules.
  • Evening availability is required as needed to support community events and external reservations.
  • Comfortable working outdoors in varying weather conditions and being on your feet for extended periods.
  • Ability to move throughout community facilities and event locations and assist with event setup and breakdown.
  • Ability to lift and move event equipment and supplies weighing up to 30 pounds.
  • Ability to operate a motor vehicle and travel between community locations or complete business-related errands as needed.
