Job Title: Administrative Support Specialist

Industry: Vehicle Leasing / Transportation

Location (city, state): Chicago, IL

Assignment Type: Contract – 6–8 weeks

Pay: $20–$23/hour

Work Schedule: Monday–Friday, 8:00 AM–5:00 PM. Hybrid schedule with Tuesday, Wednesday, and Thursday in the office and Monday and Friday remote. Some flexibility with the in-office days may be available. The first few days will be fully onsite for training.

Job Description:

The Administrative Support Specialist will provide clerical, data entry, and operational support to a busy team within the vehicle leasing organization. This role is ideal for someone who is highly organized, detail-oriented, and comfortable working with Microsoft Office, Excel, email, and internal web-based systems. The successful candidate will be able to learn quickly, manage multiple administrative tasks, and maintain a high level of accuracy.

Key Responsibilities:

  • Process and update vehicle titles, registration documents, invoices, and related records
  • Enter and maintain information accurately in internal systems
  • Prepare title and registration paperwork
  • Scan, organize, index, and electronically file documents
  • Prepare documentation and packets related to vehicle sales
  • Coordinate outgoing document and vehicle-related shipments
  • Follow up with dealers and vendors regarding delivery and registration information
  • Run reports and update internal databases
  • Provide general administrative support to the operations team
  • Sort and distribute incoming mail
  • Assist with additional clerical projects as needed

Qualifications:

  • 2–3 years of administrative and/or data entry experience
  • High school diploma or equivalent required
  • Strong attention to detail and organizational skills
  • Excellent written communication skills
  • Ability to work efficiently in a fast-paced environment
  • Intermediate Microsoft Excel skills
  • Proficiency with Microsoft Office and Outlook
  • Comfortable learning new internal systems and processes
  • Ability to handle detailed, repetitive work while maintaining accuracy
