Overview

The HR Compliance Specialist serves as a highly autonomous, crossfunctional role that is responsible for enterprise-wide HR regulatory compliance within a healthcare environment. This role combines adjudication oversight, advanced leave and accommodation governance, and employment compliance strategy. This position will act as the primary subjectmatter expert (SME) for Leave of Absence (LOA), ADA compliance and workforce monitoring. This position also conducts deepdive license and credential verifications, ensuring alignment with regulatory requirements. The role is responsible for the application of federal/state leave laws in partnership with HR Managers. The Specialist exercises independent judgment in interpreting complex federal, state, and local employment laws. This position operates with minimal oversight and holds decision-making authority on sensitive compliance determinations.

In addition, this role oversees I9 compliance, including remote verification workflows, EVerify, and ongoing audit/readiness requirements. The Specialist will manage all legally required federal, state, and local labor law postings, partner on AAP/OFFCP/EEO/VETS reporting, and support HR compliance operations across the organization.

Responsibilities
  • Ensure accurate and prompt processing of all adjudication results.
  • Provide timely follow up on any questions or concerns stemming from adjudication outcomes.
  • Interpret results from criminal background checks, employment and education verifications, drug screens, and other pre-hire compliance requirements. hire compliance requirements.
  • Independently interpret and apply complex federal and state regulations, including FMLA, ADA, state leave laws, and healthcare-specific employment requirements.
  • Serve as enterprise SME and primary escalation point for complex FMLA, ADA, interactive process, and statutory leave matters.
  • Coordinate and support compliant administration of FMLA, ADA, personal leave, statutory leaves, and related accommodation workflows.
  • Ensure compliance with healthcare-specific screening requirements, including OIG/GSA exclusion checks and state licensure validations.
  • Conduct deep-dive license and credential verification for clinical and regulated positions, ensuring alignment with state licensure boards and healthcare regulatory standards.
  • Monitor ongoing licensure, certification, and exclusion databases to ensure continued workforce eligibility. Partner with leadership to enforce ongoing license monitoring requirements, escalate discrepancies, and coordinate corrective action to ensure uninterrupted regulatory compliance.
  • Develop standardized workflows, documentation protocols, and audit mechanisms for leave of absence, ADA, and other workforce monitoring programs.
  • Identify trends in leave utilization and recommend operational or policy improvements to reduce compliance exposure and improve workforce continuity.
  • Serve as primary owner of all I9 compliance processes, ensuring accurate completion, storage, remediation, and timely reverification. Monitor and interpret regulatory updates from USCIS and DHS related to Form I-9 and employment eligibility verification requirements; provide enterprise guidance and lead implementation of procedural changes to ensure ongoing compliance.
  • Oversight of remote and inperson I9 workflows, including compliance with DHS Alternative Procedure requirements.
  • Conduct internal audits, correct deficiencies, and maintain EVerify case accuracy and documentation.
  • Manage all required labor law postings at federal, state, and local levels; ensure timely updates and distribution.
  • Coordinate with HR compliance teams to maintain 100% posting accuracy.
  • Support EEO 1, VETS, pay equity, and state/local reporting requirements.
  • Assist with policy management.
  • Perform other duties as required by management consistent with role and skill set.
Qualifications

Education:

  • High School Diploma or General Education Diploma Required
  • Bachelor's degree preferred; HR, Business, or related field strongly preferred

Experience/Qualifications:

  • Prior adjudication, LOA/ADA administration, or HR compliance experience strongly preferred
  • Knowledge of FMLA, ADA, and multistate leave laws
  • Familiarity with Fair Credit Reporting Act (FCRA) and background screening rules
  • Experience with I9/EVerify processes
  • Prior experience with regulatory reporting (EEO, AAP, OFCCP, VETS) a plus
  • Prior experience in a health care setting.
  • Strong analytical skills with excellent attention to detail
  • Ability to manage sensitive and confidential information with tact
  • Prior criminal research, adjudication and/or quality experience a plus
  • Advanced knowledge of MS Office including Outlook, Word and Excel required
  • Strong analytical, verbal and written communication skills
  • Ability to prioritize work under timesensitive deadlines
