Position: Vendor Experience Manager (Remote)

Division: Stratoscope Consulting

Reporting to: Director, Vendor Experience

Compensation: $75,000-$85,000 + annual performance bonus

Stratoscope Consulting Department Overview

The Stratoscope Consulting (composed: Client Experience, Project Operations and Vendor Experience) team is responsible for driving successful events to the finish line. The Client Experience team is responsible for leading the way and guiding project teams from inception to successful completion. The Project Operations team is the logistical and administrative support team to the Client Experience Team for all projects. The Vendor Experience team provides the Client Experience team qualified and mission focused vendors who represent the entire team onsite during a project. Our team members share a passion for delivering high end solutions in a fast paced team environment to prove themselves as a valuable part of a high growth organization.

Vendor Experience Team Overview
  • Partnered with Client Experience and Project Operations team member(s), Vendor Experience provides all communications, delivery related orders, leadership and reconciliation of work related to vendor partnerships in the execution of a project.
  • Primary point of contact for our Vendors, communicating proactively with overall project teams on all aspects of a project.
  • Create and execute the following deliverables:
    • Scope of Work (staffing plans, rates & terms)
    • Onsite deliverables (post orders, dot maps, daily briefings, daily reconciliation & oversight)
    • Post Event deliverables (final invoicing review/approval, After Action Reports (AARs) & Vendor reviews)
  • Manage vendor relations for client and internal project teams while onsite at projects.
  • Manage vendor relations by instilling continued training, feedback and agreement management.

While the day to day of this role is remote based, travel to support meetings, site-visits, and events is required (up to 10 concurrent days).

Role Responsibility Highlights

The position of Vendor Experience Manager at Stratoscope Consulting is a key role for our project teams to support and become the primary lead for all third party staffing needs for each event and project. As a part of the Stratoscope Consulting team, a dedicated individual is needed to take a client’s vision and translate that into a comprehensive event staffing plan to ensure successful delivery, focusing on both industry best practices and exceptional guest experience. This position requires an organized, experienced staffing professional able to guide the project team through the development of staffing schedules, contracting third party vendors, managing the delivery of those services, and reconciling budgets and invoices.

Required Traits/Qualifications

  • Proactive, detail-oriented, self-starters that are capable of working independently and as part of a team.

  • Work with the Client Experience project lead to identify any and all event staffing requirements to create an exceptional guest experience for each project to fit the expected security posture and budget for the client.
  • Develop a Staffing Plan Budget and communicate with the extended client and project team.
  • Create supporting information and deliverables for vendors (e.g. Job Orders, Dot Maps, Event Briefing Decks, Uniform Requirements, Logistical and Administrative plans for project)
  • Coordinate Request for Proposal (RFP) and contracting processes for third party vendors (e.g. Contract Security Staffing Companies, Event Staffing Auditors, Law Enforcement, Explosive Detection K9, EMTs, General Event Staff/Ambassadors, Ticket Takers/Badge Scanners, etc).
  • Manage third party vendors onsite operationally and administratively while onsite, leveraging the internal staff to ensure the successful execution of vendors’ assigned responsibilities and expectations.
  • Proficient in Google Suite (Gmail, Chat, Docs, Sheets, Slides).

Preferred Qualifications

The following identifies the requirements and the experience needed to be successful in this position.

  • 2-3 years of experience in Event Staffing.
  • Experience in contract & rate negotiations with understanding the basic tenants in agreements pertaining to Event Staffing in a given state, venue and/or environment.
  • Proficient in creating special event staffing plans with a focus on security and crowd management.
  • Experience with multiple staffing companies and venues is preferred.
  • Experience working in multiple states domestically (California, Florida, Georgia, New York, Nevada preferred)
  • Experience managing budgets and expense tracking.
  • Desire to work in a fast paced team environment contributing to the success of each event, regardless of size and scale.
