Job description

Engineering Coordinator — Remote

Employment Type: Full-Time

Location: Remote

Schedule: Monday–Friday, approximately 8:00 AM–5:00 PM with some flexibility

About the Role

We are seeking an organized, proactive Engineering Coordinator to support a growing product development organization. This role serves as the connective tissue between project managers, engineering leaders, and cross-functional teams, helping ensure that schedules, documentation, communication, and administrative processes stay organized and moving forward.

This is an ideal opportunity for someone who is comfortable working in a fast-paced environment with shifting priorities and enjoys bringing structure to complex situations. The successful candidate will be highly organized, detail-oriented, and comfortable coordinating with multiple stakeholders across an engineering organization.

What You'll DoAdministrative & Financial Support
  • Process and validate invoices and assist with maintaining accurate financial and administrative records.
  • Track outstanding items and follow up with appropriate stakeholders to keep processes moving.
  • Support project managers and engineering leadership with day-to-day administrative needs.
Calendar & Scheduling Management
  • Coordinate complex calendars across engineering managers, project managers, and other stakeholders.
  • Schedule meetings, prioritize competing requests, and protect critical blocks of time.
  • Prepare schedules and meeting logistics in advance to ensure teams are ready for the workday.
  • Leverage AI and productivity tools to streamline scheduling and reduce administrative workload.
Cross-Functional Coordination
  • Serve as a central point of contact between project managers, engineering teams, and other internal stakeholders.
  • Participate in meetings, capture high-level notes and action items, and ensure information reaches the appropriate teams.
  • Maintain clear points of contact across departments so employees can quickly identify the right resources.
  • Help coordinate projects and initiatives across multiple teams with competing priorities.
Documentation & Knowledge Management
  • Organize and maintain internal documentation, technical resources, and company materials.
  • Help identify existing resources and information so teams can avoid duplicating work.
  • Support onboarding by preparing welcome materials, organizing resources, and creating easy-to-follow documentation.
  • Help standardize documentation and communication practices across teams.
  • Identify opportunities to improve processes and implement simple automations that eliminate repetitive administrative tasks.
What We're Looking For
  • Experience in an administrative, coordinator, project support, operations, or similar role.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities in a fast-changing environment.
  • Clear, professional, and patient communication skills.
  • Comfortable working with individuals across different teams, personalities, and communication styles.
  • Ability to work independently and proactively identify what needs to be done.
  • Strong proficiency with common productivity, scheduling, and documentation tools.
  • Interest in using AI tools and automation to improve productivity and eliminate repetitive work.
  • Ability to maintain confidentiality and handle sensitive business information appropriately.
Nice to Have
  • Experience supporting engineering, manufacturing, technology, or product development teams.
  • Experience working with ERP, finance, or procurement systems.
  • Experience coordinating calendars for multiple managers or executives.
  • Experience with project management or collaboration platforms.
  • Experience creating process documentation, onboarding materials, or knowledge-management systems.
  • Familiarity with AI-powered productivity and scheduling tools.
  • Experience building simple workflow automations.
Why This Role?

This is a long-term opportunity to become a key part of a growing engineering organization. Rather than simply providing administrative support, you'll have the opportunity to improve how teams communicate, organize information, manage schedules, and get work done.

The ideal candidate is someone who enjoys being the person others can rely on to keep things organized, solve problems before they become issues, and make a busy organization run more smoothly.

Schedule & Work Environment
  • Fully Remote
  • Full-Time
  • Monday–Friday
  • Core hours approximately 8:00 AM–5:00 PM, with some flexibility
