Job description

Role: Data Archival Program Manager (MediQuant/DataArk Program Manager)  

Location: Remote

Duration: 6+ month

Position Summary

The Data Archival Program Manager leads enterprise data archival initiatives supporting application decommissioning, regulatory compliance, data retention, and long-term information. This role serves as the primary liaison between business stakeholders, IT teams, compliance, legal, privacy, and archival solution vendors to evaluate, plan, and execute archival strategies for legacy applications and clinical systems. The position provides subject matter expertise on healthcare data retention, archival technologies, system disposition planning, and governance processes.

This individual will manage the implementation of data archival solutions.  The individual we are seeking has been in a similar role-- working internally, not necessarily as the vendor implementer who is in and out.   This is an archiving project:  large scale integration of legacy data from 3 medical groups (patient records and HR records for employees.)  The program manager will interact with Med practices, tech team doing implementation

Key Responsibilities

Enterprise Archival Program Leadership

  • Manage and coordinate the MediQuant/DataArk and other archival technology vendors, Scanning America, and RUSH-owned archival program and associated archival projects.
  • Develop and maintain archival roadmaps, priorities, and project plans.
  • Lead evaluations of legacy applications transitioning toward archival and decommissioning.
  • Support governance committees responsible for data retention, archival, and disposition decisions.

Data Retention and Compliance

  • Partner with Compliance, Privacy, Legal, HIM, and business stakeholders to determine retention requirements.
  • Facilitate discussions regarding regulatory, operational, and research-based retention needs.
  • Ensure archival approaches align with organizational retention policies and healthcare regulations.

Archival Solution Design and Execution

  • Assess client-defined archival options and recommend appropriate technologies and strategies.
  • Coordinate vendor activities related to data extraction, migration, archival, hosting, and access.
  • Support implementation of enterprise archival solutions for clinical, operational, HR, financial, and administrative systems.

Application Decommissioning Support

  • Partner with decommissioning, infrastructure, and application teams to retire legacy systems.
  • Identify archival dependencies that must be completed before applications can be decommissioned.
  • Evaluate risks associated with ongoing support, licensing, security, and historical data access.

Stakeholder Engagement

  • Facilitate cross-functional meetings with clinical, operational, technical, legal, and compliance teams.
  • Present archival options, risks, costs, and recommendations to leadership.
  • Serve as a trusted advisor regarding archival strategy and data accessibility requirements.

Process and Governance Development

  • Help establish intake processes, standards, and documentation for archival requests.
  • Support development of archival governance frameworks and operating committee structures.
  • Maintain documentation, decision records, and program communications.
