Summary

The Facilities Coordinator will provide administrative and operational support to the Director of Facilities and field maintenance teams. This role requires a construction, facilities, or maintenance-related background, as the individual will work closely with vendors, contractors, property teams, and field staff.

The position is primarily remote, with a preference for candidates located in the Las Vegas area who can report to the corporate office or visit properties as needed.

Responsibilities

  • Prepare and coordinate approval requests for facilities-related work and expenses.

  • Monitor timecards, overtime, and related reporting for hourly Facilities team members.

  • Track and coordinate urgent maintenance issues involving roving and field teams.

  • Maintain preventative maintenance schedules and ensure required work is tracked and completed.

  • Manage Facilities calendars, scheduling, and follow-up.

  • Work closely with vendors and contractors on service needs, scheduling, pricing, and ongoing communication.

  • Assist with vendor negotiations, contracts, and service agreements.

  • Track project and maintenance schedules, deadlines, and outstanding items.

  • Monitor equipment and vendor warranties.

  • Prepare and track expense reports.

  • Maintain organized records for projects, vendors, approvals, and property needs.

  • Follow up with internal teams, properties, and vendors to ensure open items are addressed promptly.

  • 1–3 years of experience in construction, facilities, maintenance, property management, or a similar industry required.

  • Experience working directly with vendors and contractors strongly preferred.

  • Strong organizational skills with the ability to manage multiple priorities.

  • High sense of urgency and consistent follow-through.

  • Strong communication and problem-solving skills.

  • Experience with scheduling, invoices, expense tracking, timecards, or vendor coordination preferred.

  • Proficiency with Microsoft Office and ability to learn internal systems quickly.

  • Bilingual English/Spanish is a plus, but not required.

  • Las Vegas-area candidate strongly preferred.

  • Ability to work remotely while being available to report to the office or properties as needed.
