Ameresco is seeking a highly organized and detailoriented Construction Project Coordinator to support project managers across the Western Region. This position provides critical project coordination and administrative support throughout the full construction lifecycle, with a strong focus on project setup, document control, compliance management, and communication. The ideal candidate will be based in Ohio or Michigan remote office.

Responsibilities:

  • Project Documentation and Systems Administration: Manage and coordinate construction project documentation utilizing Procore and other project management platforms; Maintain or obtain Procore Integratorlevel certification through companyapproved training: Process and manage Submittals, RFIs, COPs, change documentation, and other construction records through Procore; Maintain and track all compliance documentation required for local, state, and federal jurisdictions; Organize, track, and archive all projectrelated files, drawings, correspondence, and records in accordance with company standards; Prepare and distribute meeting agendas and minutes using Procore or clientpreferred platforms.

  • Scheduling, Procurement and Project Support: Coordinate project scheduling milestones, equipment procurement, deliveries, and related logistics; Assist Project Managers in maintaining project schedules and supporting successful project execution.

  • Financial and Administrative Support: Assist with preparation and organization of documentation required for project invoicing; Support subcontract administration, including tracking subcontract documents, budgets, cost analysis, monthly accruals, cost forecasting, and reporting; Process and track invoices, purchase orders, change orders, and project expenditures to ensure accuracy, approvals, and timely payment; Provide daily administrative support to the construction team, including document preparation, correspondence, scheduling meetings, and invoice processing.

  • Bid and Contract Coordination: Coordinate, prepare, and distribute bid packages; Assist with identifying and prequalifying subcontractors; Manage bidrelated RFIs and issue addenda as required; Compile bid responses and prepare bid tabulations for review.

  • Project Closeout: Track and manage the project closeout process from substantial completion through final documentation; Organize and submit closeout documents in accordance with regulatory and contractual requirements.

  • Collaboration and General Support: Provide routine project reporting, documentation support, and technical assistance; Foster positive and professional working relationships with internal teams, subcontractors, and clients; Demonstrate flexibility in work schedule to support project demands.

  • Perform additional duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in a related field, or equivalent combination of education and relevant work experience.

  • Minimum of four (4) years of experience supporting largescale construction projects, upgrades, renovations, or retrofits involving institutional, government, commercial, or industrial facilities

Additional Qualifications:

  • Demonstrated ability to gather, validate, and analyze quantitative data.

  • Strong verbal and written communication and presentation skills

  • Proficiency in Microsoft Excel, Word, PowerPoint, and other Microsoft Office applications

  • Ability to manage multiple priorities effectively while maintaining attention to detail

  • Strong organizational, coordination, and interpersonal skills
