Role Overview
The Executive Assistant provides high-level administrative and operational support to the Chief Legal Officer and other Executives as assigned. This role requires exceptional organizational skills, discretion, and the ability to manage complex priorities in a fast-paced, highly confidential environment. The Executive Assistant serves as a trusted partner, ensuring efficient coordination and completion of a range of scheduling, document execution and management tasks. The Executive Assistant will provide focused support to assigned leaders and teams while operating as a cohesive member of our administrative team and provide backup support as needed.
Key Responsibilities
Executive Support
  • Manage and maintain complex calendars for the Chief Legal Officer and other Executives as assigned, including prioritization of meetings and scheduling across time zones and teams
  • Coordinate travel arrangements, including itineraries, logistics, and expense reporting
  • Serve as a liaison between leadership and internal/external stakeholders
  • Upload Board and Committee materials to Boardvantage

Legal Operations & Coordination
  • Coordinate execution of legal documents and deliverables in a fast-paced environment
  • Coordinate the execution and filing of Board and Committee minutes. Maintain legal documents, files, and records with strict confidentiality
  • Coordinate document routing, signature processes, and document management systems
  • Assist with compliance tracking, audits, and filings as needed

Project & Process Management
  • Support cross-functional initiatives and projects
  • Identify opportunities to improve administrative processes and workflows
  • Help manage department budgets, invoices, POs and vendor relationships

Qualifications
  • Bachelor's degree or equivalent experience
  • 5+ years of executive administrative experience, preferably supporting senior leaders in a legal environment
  • Familiarity with legal terminology, board matters, and compliance processes is strongly preferred
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent organizational, time management, and multitasking skills
  • Detail-oriented
  • High level of discretion and judgment, and ability to handle confidential information

Position Location
This is a remote role; periodic travel to team and company events is required.
The anticipated salary range for candidates for this role is $105,000 - $120,000 The final salary offered will depend on several factors, which may include, but not limited to, relevant years of experience, educational background, and geography.
