Position Overview
  1. SCOPE OF ROLE:
  • The S:US Support Services team is comprised of the infrastructure/administrative departments that provide resources to those staff who work in direct service to the people supported by S:US. The Support Services team is committed to being respectful and responsive to the needs of our customers, and mindful of our shared goal to deliver on the S:US mission. We believe that working together, we can help to make New York City a place where everyone has a roof over their head, is healthy, productive and enjoys social connections that create a life of purpose.

  • The front desk office assistant provides general administrative support to the team working at the central administrative offices. The front desk office assistant is the first point of contact for visitors to these offices. He/She coordinates front-desk activities, including but not limited to directing visitors, distributing correspondence and forwarding phone calls.

Qualifications
  1. ESSENTIAL DUTIES & RESPONSIBILITIES:

Front Desk Monitoring
  • Answer incoming calls, determine purpose and forward calls to appropriate personnel or department.
  • Welcome and announce visitors.
  • Maintain visitor, staff, and delivery logs.

Coordination of Meetings and Events
  • Manage scheduling of spaces for meetings and individual use via the Robin System.
  • Provide crisis intervention and request emergency responders as needed.
  • Perform additional administrative responsibilities across S:US' Real Estate portfolio as assigned by the Director of RE through the Office Operations Manager.
  • Manage mailing/correspondence for the RE Department and filter to assigned department through file bound.
  • Create/maintain an orderly system for deliveries and mailing sent to central office.

Building Security
  • Coordinate daily visitors list with building security.
  • Maintain accurate building entry and guest/staff registration records via myKastle (the Visitors Management System).

  • Other duties as assigned through your direct report

  1. REQUIREMENTS:

REQUIRED EDUCATION AND EXPERIENCE
• High School Diploma or GED
• Prior experience working in social services, non-profit organizations or office management
• Effective written and oral communication skills.
PREFERRED QUALIFICATIONS & SKILLS
  • At least one year of customer service experience
    • Experience with switchboard and communication systems.
    • Ability to work well under pressure and multi-task.
• Basic computer skills (e.g. MS Office suite and Windows)
