Position Title:
Coordinator
Salary Range:
Coordinator (Grade 13, Non-Exempt). Hourly wage range: $32.38 - $40.48. This range reflects the minimum to midpoint of the grade. Hourly rate may exceed the midpoint and will commensurate with experience.
Job Description Summary:
The Coordinator is responsible for ensuring efficient and timely project management of departmental programs, projects, and services; participates in cross-departmental collaboration; manages communication with internal and external stakeholders; develops and maintains project plans and timelines; and monitors and reports on resource tracking and other key metrics. This position will assume substantial delegation authority.
The ideal candidate is a highly organized, relationship-oriented professional who thrives in a fast-paced environment and demonstrates exceptional judgment, professionalism, and discretion. This individual will work closely with executive leadership, the Board of Directors, and stakeholders across the organization, requiring strong communication skills, attention to detail, and the ability to manage multiple priorities while maintaining a high level of service and confidentiality.
Essential Duties and Responsibilities
  • Draft elements of project review reports and presentations to support delivery of the review process.
  • Carry out delegated activities to support the production of workstream and project plans that identify and organize all the activities needed to deliver project objectives and that comply with the organization's project management framework.
  • Prepare moderately complex documents using a variety of applications for technology devices, such as standard office software. Also responsible for gathering and summarizing data for reports.
  • Identify, elicit, and document user/project requirements, using appropriate modeling technique, if required. Analyze requirements and validate with original users, eliminating confusion. Outline verification criteria to ensure requirements are met. Maintain documentation and traceability throughout project.
  • Support stakeholder engagement by arranging meetings, events, and other stakeholder engagement activities.
  • Contribute to the management of risks and issues by maintaining and distributing project and program risk registers and issue logs.
  • Produce, update, and provide best practice support on a wide range of documents, databases, and other departmental systems.
  • Contribute to reviewing existing operations in own area of work, and generate new ideas to assist in identifying continuous improvements.
  • Contribute information and analysis to support the specification of project deliverables.
  • Carry out a range of contract management tasks.
  • Draft elements of product documentation and user training to support handover to business as usual. Contribute to post-project reviews and identification of lessons learned.
  • Contribute to management of resources by maintaining and distributing records of project and program budgets, actual spend, and resource utilization forecasts.
  • Develop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching.
  • Other duties as assigned.

Additional Job Description:
Required Qualifications
  • Associate's degree in a related field OR a combination of post-secondary training, professional education, and related experience equivalent to two (2) years.
  • Two (2) years of advanced professional office experience and/or project management; of which the total years of experience include:
  • Experience with project coordination
  • Intermediate to advanced proficiency in Office 365, SharePoint, One Drive, and/or Microsoft Teams
  • Experience working with Board of Directors preferred

Location:
  • This is a remote position, within the State of Minnestoa, and is subject to Sourcewell's telecommuting policies and procedures.
  • On occasion, may be asked to travel to Staples, MN for meetings, professional development or team activities. Up to three to five (3-5) times per month. Notice will be given ahead of time.
