Job description

Introduction
The Department of Health Services (DHS) , Division of Public Health (DPH) , is recruiting for an Office Manager to serve the Office of Health Informatics (OHI).
This is a re-announcement. If you previously applied, you won't need to reapply.
OHI is responsible for managing public health data collection systems and infrastructure, analytic platforms, data management tools. OHI's work supports state- and nation-wide public health surveillance, services, and programs. OHI is a large office consisting of four sections and about 160 staff members who serve DPH, DHS, and external partners' health data and technology needs.
This position offers the option to work remotely up to 3 days per week and is headquartered in the 201 E. Washington Ave. office in downtown Madison. You must have access to both a private workspace and high-speed internet if working remotely. A greater in-office presence may be required periodically for meetings, events, training, onboarding, or other operational needs. This position will work Monday through Friday, daytime hours.

Position Summary
As the OHI Office Manager, you will perform a variety of office management duties to ensure the successful functioning of the office. Responsibilities will include, but are not limited to:
  • Providing excellent customer service to a variety of internal and external contacts.
  • Scheduling, facilitating, and hosting meetings.
  • Coordinating newsletters and other office-wide communications.
  • Assisting staff with budget and grant coordination as needed.
  • Supporting purchasing activities for the office, including purchasing office supplies, registering and paying for training or travel expenses, and reconciling invoices and purchase cards.
  • Coordinating OHI office space/facility management activities.
  • Coordinating human resources activities including onboarding and offboarding staff and candidate interviews.
  • Supporting office- and division-wide software licensing renewal and audit processes.
  • Performing executive assistant functions in support of the DPH Chief Data Officer.

Salary Information
The starting pay is $22.76 per hour, plus excellent benefits. A 12-month probationary period is required.
Pay for current or former employees is based upon the rules that apply to compensation for the applicable transaction. This position is classified as Operations Program Associate and the pay schedule and range is 02/11.
Job Details

DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer.
For positions that allow remote working flexibility, working outside of Wisconsin or in bordering cities will not be allowed except in extremely limited circumstances due to the need to report to an office location in Wisconsin on short notice.
Employees must have access to both a private workspace and secure high-speed internet for remote work option. Mileage reimbursement to the employee's headquarter location is not provided. Remote work flexibility will be discussed in more detail during the interview process.
Qualifications
Minimally qualified applicants will have all of the following:
  • Experience providing customer service in a professional office setting.
  • Experience working with and supporting a broad variety of internal and external partners, customers, and leaders.
  • Experience coordinating complex leadership schedules and accommodating changing priorities.
  • Experience using computer software and programs such as Microsoft Office and Teams.
  • Experience reviewing and entering data and fixing errors or incomplete information.
Well-qualified applicants will also have one or more of the following:
  • Experience handling private or protected information or data.
  • Experience preparing and presenting information in a variety of formats (e.g., verbal briefings, presentations, trainings, written reports, etc.) to decision makers .
  • Experience coordinating recruitment related activities such as interview scheduling and onboarding and offboarding of staff.
  • Experience processing invoices, purchase orders, or other budget/fiscal tasks.
