Job description

Our client is currently seeking a Billing & Administrative Coordinator to support the day-to-day management of service tickets for an automation services company supporting clients in the oil & gas industry. This position will play an important administrative role in ensuring service tickets are accurately documented, properly submitted to clients, followed up on for approval, and prepared for invoicing.
The position will be fully remote.Β The successful candidate should be organized, detail-oriented, comfortable communicating with clients, and able to manage multiple tickets and follow-ups efficiently.

Responsibilities:
  • Monitor and manage incoming service tickets through the company’s proprietary ticket portal.
  • Review tickets to ensure required information and documentation are complete and accurate.
  • Organize and process tickets for submission to clients.
  • Send tickets to clients through the appropriate method, including the company portal, client portals, or email.
  • Monitor the status of submitted tickets and identify outstanding approvals or sign-offs.
  • Follow up with clients as required to obtain completed and approved tickets.
  • Maintain accurate records of ticket status and client approvals.
  • Ensure approved and signed tickets are properly prepared and available for invoicing.
  • Communicate with internal technicians as needed to clarify missing or incomplete information.
  • Assist with improving and maintaining an efficient ticket administration process.
  • Provide general administrative support related to service documentation and client billing.
  • As the role develops, the successful candidate may be given access to the company’s accounting system and assume responsibility for creating customer invoices.
Requirements:
  • Strong organizational and administrative skills.
  • Excellent attention to detail and accuracy.
  • Comfortable working independently in a fully remote environment.
  • Strong written and verbal communication skills.
  • Professional and confident when communicating with clients.
  • Ability to follow up consistently and professionally on outstanding items.
  • Comfortable learning and working with web-based portals and software systems.
  • Basic understanding of invoicing and accounts receivable processes would be an asset.
  • Previous experience in administration, service coordination, ticket management, dispatch, invoicing, or a related role would be an asset.
  • Experience in the oil & gas, automation, industrial services, or technical services industry would be an asset but is not required.
