Business Escrow Services Associate (Remote)
Agility 360 is searching for an experienced Business Escrow Services Associate for a contract position with our client. The ideal candidate will possess a strong background in escrow operations, legal documentation review, client support, and financial services. As an integral part of the Business Escrow Services team, you will play a critical role in supporting internal departments, external clients, security holders, legal counsel, and relationship managers throughout the escrow and paying agent process.
In this role, you will be responsible for delivering accurate, timely, and exceptional service while managing multiple priorities in a fast-paced, deadline-driven environment. You will serve as a key point of contact for inquiries related to online document execution, payment processing, shareholder communications, and technology access. Your attention to detail, strong analytical skills, and commitment to service excellence will be essential as you research issues, review legal agreements, coordinate with counsel, and support the execution of complex financial transactions. Success in this position requires professionalism, strong communication skills, sound judgment, and the ability to work independently while maintaining a high level of accuracy and responsiveness.
Job Responsibilities:
  • Manage incoming telephone and email inquiries related to security holder questions, technology access, account log-in issues, and online document execution processes.
  • Serve as a professional and knowledgeable point of contact for internal and external clients, ensuring a high level of customer satisfaction.
  • Research and respond to security holder inquiries while providing accurate and timely resolutions.
  • Assist the Payment Execution Team with callback verifications and confirmation of wire payment instructions when required.
  • Support the initiation and processing of payments to shareholders and clients in accordance with established procedures.
  • Research returned payments, obtain updated payment instructions, and coordinate reissue payment activities.
  • Develop an understanding of daily reconciliations, quarterly interest releases, and invoicing processes to provide coverage and support when needed.
  • Partner with Relationship Managers by serving as a solicitation liaison with legal counsel to update security holder records and maintain solicitation activities.
  • Create, maintain, and distribute solicitation status reports to support transaction execution and client communication.
  • Act as the lead reviewer of executed agreements received from counsel, ensuring completeness, accuracy, and compliance with transaction requirements.
  • Identify discrepancies, communicate inaccuracies to the appropriate parties, and perform follow-up activities to ensure timely corrections.
  • Coordinate technology setup for new Escrow and Paying Agent transactions, including the establishment of client access through the Client Portal.
  • Review executed agreements and create tickler reminders for actionable items, key milestones, and important deadlines.
  • Maintain accurate documentation and records within internal systems and client files.
  • Collaborate with internal departments to support transaction workflows and ensure service delivery objectives are met.
  • Meet established productivity, quality, and service standards while adhering to departmental procedures and deadlines.
  • Handle confidential financial and legal information with professionalism and discretion.

Experience:
  • Bachelor's degree in a related field from an accredited four-year college or university required, or an equivalent combination of education and relevant professional experience.
  • Minimum of two (2) years of experience in escrow services, paying agent services, financial operations, banking, trust services, or related fields.
  • Familiarity with escrow agreements and transaction-related documentation required.
  • Working knowledge of legal documentation, corporate entities, and ownership structures preferred.
  • Experience reviewing escrow agreements and providing feedback or support to attorneys and legal counsel preferred.
  • Intermediate proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Experience gathering, analyzing, and interpreting data from multiple sources.
  • Demonstrated understanding of financial markets, financial transactions, and industry trends.
  • Strong written and verbal communication skills with the ability to interact effectively with internal stakeholders, clients, attorneys, and security holders.
  • Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
