Job description

The ideal candidate will be extremely detail oriented, creative, energetic, curious, and born to multitask. This is a chance to partner with a founder of a growing company and help build and develop systems and processes from an early stage.

While this is a 4 month contract position to start, it could easily extend and grow for the right candidate!

Core Responsibilities

  • Work 1:1 with the CEO and founder of the company to help manage administrative tasks for him and his team of 16 contractors.
  • Handle requests and queries appropriately
  • Arrange meetings and appointments, and catering for meetings as needed
  • Make travel arrangements for contractors and visits as needed.
  • Enter service request in mhelpdesk software and follow through with the service event until completion.
  • Monitor bids that are won or loss.
  • Build and records processes across all aspects of the business - HR, Project Management, SOPs, Onboarding, ETX.
  • Help take the admin duties off the shoulders of the CEO and handle data entry (Logging calls, inputing data, using service software, tracking POs, receipts, etc.)

Qualifications/Skills

  • 5 years of experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  • Full comprehension of mHelpdesk software and procedures
  • Proven history of quick response time to client or coworkers requests and admin needs
  • Exemplary planning and time management skills
  • Strong experience working independently.
  • Up-to-date with advancements in office gadgets and applications
  • High level verbal and written communications skills
