This portfolio catalyzes policy and practice change in health systems by supporting health leaders and policy makers to navigate through complex problems using a variety of methods. The Health Policy and Programs team works with HEC programs and collaboratives to develop internal capacity and knowledge about applying a policy lens to program work,in order toidentifypolicy enablers and barriers, as well as potential opportunities to support policy change. As a policy support program internally and to governments and other health systems interest holders, the Health Policy and Programs team supports policy intervention processes on identified issues, by using productslike:policy briefings, evidence and environmental scans, policy labs, and policy roundtable dialogues on priority policy topics that support HEC's operational plan and/or have been identified through policy consultations withinterestholders.


The Program Coordinator holds three main areas of responsibility:

  1. Provides a high level of administrative support to the Director/Senior Program Lead as well as to their respective team;
  2. Manages and coordinates events and projects in the program area, including online programming and meetings that facilitate evidence-informed innovation in healthcare organizations and that link healthcare leaders who are central to HEC's strategic priorities; and
  3. Provides general program support and coordination to the team including preparation of briefing materials to support planning and program development.


Your core responsibilities include:

  • Maintains Director/Senior Program Lead meeting schedules, project deadlines, etc.
  • Reconciles all travel authorization forms, expense claims and credit card payments regularly and keep a continuously updated expense report as required.
  • Coordinates internal and external meetings, speaking engagements and conference attendance, and travel arrangements, prepare presentations and speeches and screen incoming calls, emails and correspondence and respond independently when possible.
  • Schedules and attends virtual meetings via Microsoft Teams or Zoom. Provides basic support and troubleshooting to invitees/ participants such as challenges accessing virtual meetings, resolving audio/ video difficulties, sharing screens, and managing meeting roles and permissions.
  • Coordinates projects and tasks related to program development, program evaluation, committees, and similar initiatives, including identify upcoming project milestones and ensuring deadlines are met.
  • Provides information to inform and support project and event budget developments, tracks project budgets, and ensures budget reconciliation.


Education and experience you will need to have:

  • College diploma in office administration, business administration, or a related field; or equivalent education and/or work experience is required.
  • Minimum of two (2) years progressive experience in a fast-paced environment is required, preferably in healthcare or a not-for-profit organization.
  • Bilingual in French and English is preferred (English communication skills at Advanced "C" level required).
  • Advanced computer software skills in Microsoft Office suite and virtual environment are required.
  • Demonstrated ability working in health and healthcare, particularly quality improvement, or patient safety is preferred.

En tant que programme de soutien aux politiques, aussi bien a l'interne qu'aupres des gouvernements et d'autres parties prenantes du reseau de la sante, l'equipe appuie les processus d'intervention en matiere de politiques sur des enjeux determines, en utilisant un large eventail de produits : des notes d'information, des donnees probantes, des analyses contextuelles, des laboratoires des politiques et des tables rondes sur les themes strategiques prioritaires qui cadrent avec le plan operationnel d'ESC, ou qui ont ete cernes dans le cadre de consultations sur les politiques avec les parties prenantes.

Le coordonnateur ou la coordonnatrice de programme assume des responsabilites dans trois domaines principaux :

  1. Fournir un soutien administratif important a la directrice, au responsable principal ou a la responsable principale de programme ainsi qu'a son equipe ;
  2. Gerer et coordonner les evenements et les projets du domaine de programme, y compris les programmes en ligne et les reunions visant a favoriser l'innovation eclairee par des donnees probantes au sein des organismes de sante et a nouer des liens avec les dirigeants et dirigeantes des services de sante dont la collaboration est essentielle aux priorites strategiques d'ESC; et
  3. Soutenir et coordonner globalement les programmes pour aider l'equipe, entre autres en preparant le materiel de breffage pour aider a la planification et a la mise en uvre de programmes.


Responsabilites principales :

  • Tenir a jour divers calendriers pour la direction et le responsable principal ou la responsable principale de programme (reunions, echeances de projets, etc.).
  • Rapprocher regulierement les formulaires d'autorisation de voyage, les notes de frais et les depenses imputees aux cartes de credit, pour tenir a jour le registre des depenses, selon les besoins.
  • Coordonner des reunions internes et externes, des invitations a prononcer des allocutions et a participer a des conferences ainsi que les preparatifs de voyage; preparer des exposes et des discours; trier les appels entrants, les courriels et la correspondance et, dans la mesure du possible, y repondre de facon autonome.
  • Planifier et assister a des reunions virtuelles sur Microsoft Teams ou Zoom. Fournir un soutien de base aux personnes participantes et invitees pour resoudre certains problemes (problemes d'acces aux reunions virtuelles, problemes audio ou video, partage d'ecran, gestion des roles et permissions).
  • Coordonner des projets et des taches lies a l'elaboration du programme, a l'evaluation du programme, aux comites et aux initiatives semblables, y compris determiner les jalons qui approchent et veiller au respect des echeances.
  • Fournir de l'information pour orienter et appuyer l'elaboration du budget des projets et des activites, assurer le suivi budgetaire et effectuer le rapprochement des comptes.


Experience et qualifications demandees :

  • Diplome d'etudes collegiales en administration de bureau, en administration des affaires ou dans une discipline connexe; ou une combinaison equivalente de formation et/ou d'experience professionnelle.
  • Minimum de deux (2) annees d'experience progressive dans un milieu de travail au rythme rapide, de preference dans un organisme de sante ou sans but lucratif.
  • Bilinguisme anglais-francais de preference (niveau C - avance - en communication en anglais obligatoire).
  • Excellente connaissance de la suite et de l'environnement virtuel Microsoft Office.
  • Atout : capacite averee a travailler dans le domaine de la sante et des services de sante, en particulier celui de l'amelioration de la qualite ou de la securite des patients.
