Job Summary Support the assigned Program Manager by maintaining the team site, project documentation, and organizational structure across active project workstreams Schedule and send meeting invites, prepare agendas, capture minutes, and follow up with stakeholders on outstanding action items Track, report, and document project activities, risks, and issues using ServiceNow in a RAID-style format, focusing on the admin and tracking side rather than risk solutioning Maintain and update project plans, schedules, status reports, and compliance documentation aligned with ePMO standards Communicate and coordinate with external stakeholders and engage with leaders at all levels of the organization Support preparation of executive-level dashboards, performance reports, and KPI summaries across multiple projects Coordinate resource tracking across clinical and IT teams and assist with onboarding of new project stakeholders Minimum Requirements: 2-3 years of experience as an IT project coordinator, preferably within a healthcare environment Experience with Epic, specifically familiarity with multiple Epic applications across different clinical or operational modules Familiarity with RAID log maintenance and project lifecycle documentation best practices Demonstrated initiative, for example proactively developing summaries, charts, or process documentation beyond the immediate ask Healthcare background, with demonstrated experience supporting project coordination in a clinical or health system setting Hands-on experience tracking, reporting, and documenting in ServiceNow (non-negotiable tool requirement) Proficiency in Smartsheet, Microsoft Teams, and Outlook Strong written and verbal communication skills with comfort engaging leaders at all levels Demonstrated ability to manage multiple priorities, maintain team organization, and track outstanding action items with minimal oversight
