Senior Project Accountant / Billing Specialist
Job Description
This fully remote Senior Project Accountant / Billing Specialist role supports large-scale construction projects by overseeing financial administration, project billing, cost tracking, reporting, and systems management. The position serves as a key partner to project management, project controls, accounting, and operations teams, ensuring accurate invoicing, clear financial reporting, and strong project cost visibility throughout the entire project lifecycle. This is a newly created role with opportunities to contribute to a growing project team and shape financial processes for complex construction and infrastructure initiatives.
Responsibilities
- Manage and support the subcontractor invoicing process, including detailed invoice review, validation against contracts, reconciliation of amounts, and tracking of payments.
- Prepare, coordinate, and process client billings, ensuring all invoices are accurate, timely, and fully aligned with contractual terms and project milestones.
- Monitor project financial performance by tracking budgets, commitments, invoices, and actual project costs to provide clear visibility into project status.
- Assist with project cost control activities, including reporting on budget versus actual costs, committed costs, invoiced costs, estimate at completion (EAC), cash flow forecasting, and cost and performance KPIs.
- Generate, maintain, and distribute recurring financial and operational reports for project leadership and stakeholders, ensuring information is reliable and easy to interpret.
- Utilize multiple project accounting and management systems, including ERP and project management platforms such as Procore, Deltek, PM Web, Ariba, and similar tools, along with Microsoft Office applications.
- Leverage advanced Microsoft Excel skills to analyze cost data, perform reconciliations of project accounts, and prepare comprehensive financial reporting packages.
- Support month-end close and project closeout activities, including billing reconciliations, accruals, journal entries, and compilation of financial documentation.
- Coordinate project-related administrative requirements, such as badging, access requests, and document management across contractor and client platforms.
- Maintain organized project records, including contracts, change orders, invoices, general ledger entries, accounts payable records, and supporting financial documentation, in accordance with company and client standards.
- Partner closely with Project Managers, Project Controls, Accounting, and Operations teams to ensure project financial data remains accurate, current, and aligned across systems.
- Assist with audits, compliance reviews, and other project accounting initiatives, providing documentation, explanations, and support as needed.
- Perform job costing and cost allocation activities to ensure costs are properly captured, coded, and reported for construction and capital projects.
- Contribute to continuous improvement of project accounting processes, tools, and reporting to support a fast-paced and growing project environment.
Essential Skills
- Minimum of 3 years of experience in project accounting, construction accounting, billing, or project financial administration.
- Strong understanding of project billing, invoicing, cost tracking, forecasting, and financial reporting for construction, engineering, infrastructure, or capital projects.
- Proficiency with ERP and project accounting systems such as Procore, Deltek, PM Web, Ariba, or similar platforms.
- Advanced Microsoft Excel skills, including experience with reporting, pivot tables, lookups, and financial analysis.
- Solid knowledge of general ledger accounting, reconciliations, accounts payable, journal entries, and month-end close processes.
- Demonstrated experience with job costing and cost allocation in a construction or project-based environment.
- Excellent organizational skills with the ability to maintain detailed and accurate financial records across multiple projects.
- Strong analytical skills with the ability to interpret financial data, identify trends, and provide meaningful insights to project stakeholders.
- Clear and professional communication skills, both written and verbal, to collaborate effectively with project management, accounting, and operations teams.
- Proven ability to manage multiple priorities and deadlines while working effectively in a fast-paced project environment.
Additional Skills & Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related field is preferred.
- Experience supporting large construction, engineering, infrastructure, or capital projects is highly beneficial.
- Comfort working with multiple project management and accounting platforms and adapting to new systems.
- Ability to partner closely with cross-functional teams and build strong working relationships.
- Attention to detail and commitment to accuracy in billing, cost tracking, and financial reporting.
- Capability to support audits and compliance reviews by preparing documentation and explaining financial data.
- Interest in contributing to process improvements and helping shape financial practices in a newly created role.
Work Environment
This is a fully remote position, offering flexibility while supporting a major construction project. The role is newly created, providing the opportunity to help define and refine processes as part of a growing project team. You will work primarily with digital tools and systems, including ERP and project accounting platforms such as Procore, Deltek, PM Web, Ariba, and Microsoft Office applications, with a strong emphasis on Excel-based reporting and analysis. Training and overlap will be provided with the current individual who has supported similar projects, ensuring a smooth transition into the role. The team encourages quarterly visits to Essex Junction, Vermont for onsite collaboration and project functions; these visits are fully expensed by the project team. You will collaborate closely with Senior project leadership and project management professionals in a dynamic, fast-paced environment focused on large-scale construction and infrastructure initiatives.
Job Type & LocationThis is a Contract position based out of Waterford, NY.
Pay and BenefitsThe pay range for this position is $30.00 - $40.00/hr.
