The Prince George's County Fire/Emergency Medical Services (EMS) Department is currently seeking qualified applicants to fill an Administrative Aide III (Administrative Aide 3H) position, grade H17, in the Fiscal Affairs Office.
About the Position
This is highly responsible and advanced secretarial/administrative work designed to relieve an important official of administrative detail. Work at this level is distinguished from the II level by lead work responsibilities and more involvement in coordinating and managing office activities. Incumbents are required to apply a good working knowledge of the programs under supervisor's control to the solution of procedural and management problems. Work at this level and the higher levels in this class series also involve handling highly sensitive and confidential issues and related activities. Work assignments include some or all of the following: coordinating and executing administrative support for Fiscal Affairs Office, compositing routine and confidential correspondence, and performing special assignments.

  • Independently perform routine, complex, and confidential assignments in a timely manner with accuracy and minimal instruction/supervision.
  • Proofread and edit correspondence and reports to ensure accuracy and comprehension of material.
  • Coordinate, consolidate, verify, and compile weekly, monthly, and annual Fiscal Affairs reports accurately and within established timeframes.
  • Ensure the confidentiality of records, files and documents.
  • Ensure team is informed and kept abreast and current on all relevant Federal, County, and Departmental orders, forms, policies, and procedures.
  • Research, analyze, develop, and implement office activities and procedures to ensure efficiency, accuracy and cost effectiveness.
  • Research and organize background material for meetings, hearings, etc., in timely manner with accuracy and highly reliable data.
  • Coordinate, order, and maintain inventory of Fiscal Affairs office furniture, materials, supplies, and equipment.
  • Maintain knowledge of proper procurement procedures and necessary documentation to ensure compliance with established guidelines, requirements, and within prescribed funding levels.
  • Prepare and process travel requests for seminars, conferences, and workshops for Fiscal Affairs team with appropriate documentation in a timely manner.
  • Maintain a log and tracking system for all incoming and outgoing assignments, correspondence, requests, reports, etc.
  • Attend meetings or committees and take comprehensive and accurate notes.
  • Perform tasks and duties that may not be specifically in the job description but are within the general occupational categories and task responsibility level.

Qualifications
Minimum Qualifications
  • Associate's degree from an accredited College or University in Business Administration or Secretarial Science.
  • Successful completion of probationary period of nine (9) months at the Administrative Aide II level; OR one (1) year of advanced diverse and/or technical clerical experience which involved working with the public, office management and operational details.

An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.

General Plan Information:
The Prince George's County benefits plan year is from January 1 to December 31.
A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.
Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.
The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).
New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.
The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.
After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and/or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
