Job Summary

The PMO Analyst / Project Manager Assistant supports the Project Management Office (PMO) and Project Managers in the planning, coordination, monitoring, and reporting of projects and programs. The role helps maintain project governance, schedules, documentation, financial tracking, risk and issue management, and management reporting to ensure projects are delivered effectively and in accordance with organizational standards.

Key Responsibilities

Project & PMO Support

  • Support Project Managers with day-to-day project planning, coordination, and administration.
  • Maintain project plans, schedules, milestones, deliverables, and action trackers.
  • Track project progress against agreed timelines and highlight delays or dependencies.
  • Coordinate project meetings, prepare agendas, capture minutes, and follow up on action items.
  • Maintain organized project documentation and ensure records are current and accessible.
  • Assist with project initiation, planning, execution, monitoring, and closure activities.

PMO Governance & Reporting

  • Support the implementation and maintenance of PMO governance processes, standards, and templates.
  • Collect and consolidate project status information from Project Managers and workstream leads.
  • Prepare weekly and monthly project status reports, dashboards, and executive updates.
  • Monitor project KPIs, milestones, risks, issues, dependencies, and decisions.
  • Help ensure projects comply with established PMO methodologies and reporting requirements.
  • Maintain portfolio-level trackers and support portfolio reporting.

Risk, Issue & Change Management

  • Maintain RAID logs covering risks, assumptions, issues, and dependencies.
  • Follow up with owners to ensure risks and issues are reviewed and updated regularly.
  • Escalate overdue actions and significant project concerns to the appropriate Project Manager or PMO lead.
  • Maintain change request logs and support the project change-control process.
  • Track key project decisions and approvals.

Financial & Resource Tracking

  • Assist with tracking project budgets, forecasts, actual expenditures, and variances.
  • Support purchase order, invoice, and project cost tracking where required.
  • Maintain resource plans and support capacity/resource allocation reporting.
  • Work with Project Managers and Finance teams to reconcile project financial information.

Stakeholder Coordination

  • Coordinate communication among Project Managers, business teams, technical teams, vendors, and other stakeholders.
  • Follow up on outstanding actions, deliverables, approvals, and decisions.
  • Assist with preparing presentations and materials for project governance meetings, steering committees, and leadership reviews.
  • Support onboarding of project team members and distribution of relevant project information.

Required Skills & Competencies

  • Jira, Confluence, Azure DevOps, Monday.com, Asana, or similar platforms.
  • SharePoint and Microsoft Teams.
  • Power BI or other dashboard/reporting tools is an advantage.

Qualifications

  • Bachelor's degree in Business Administration, Project Management, Information Technology, Finance, or a related field.
  • Approximately 2–5 years of experience in project coordination, PMO analysis, project administration, or project management support.
  • Experience working with project schedules, status reporting, RAID logs, financial tracking, and governance documentation.
  • CAPM, PMP, PRINCE2, Agile/Scrum, or similar project-management certification is desirable but not always required.
