Clinical Implementation/Onboarding Specialist

RN or Licensed Midlevel (NP/PA) - Allergy, Immunology & ENT Focus

Department: Customer Success / Implementation

Reports To: Onboarding Director

Work Type: Hybrid - frequent travel to client sites required (approximately 25–50%)

FLSA Status: Exempt

Position Summary

The Clinical Implementation Specialist is a clinically licensed professional (RN or midlevel - Nurse Practitioner or Physician Assistant) with hands-on experience in Allergy/Immunology or ENT practice settings, who serves as the clinical bridge between ModuleMD's EMR platform and the practices we onboard. This role combines real-world clinical workflow expertise with strong customer service and training skills to guide new and existing clients through implementation, troubleshoot clinical documentation issues, deliver training, and ensure clinical workflows are configured correctly and optimized within the EMR. The specialist acts as a liaison between clients, internal onboarding and support teams, and product development, ensuring that specialty-specific clinical needs - such as allergen immunotherapy documentation, biologic administration tracking, are reflected accurately in each practice's system build.

Key Responsibilities

Onboarding & Implementation

  • Serve as the clinical subject matter expert during new practice onboarding, ensuring the EMR build reflects real-world Allergy/Immunology or ENT clinical workflows.
  • Partner with the onboarding team to configure clinical templates, encounter forms, order sets, and documentation tools specific to the practice's specialty.
  • Support data migration and validation, reviewing clinical content (problem lists, medication lists, immunotherapy records, procedure history) for accuracy during transition from a practice's prior system.
  • Participate in go-live support, including onsite or remote presence on launch day to address clinical workflow questions in real time.

Customer Support & Issue Resolution

  • Serve as the first point of contact for providers, nurses, and clinical staff seeking EMR support related to charting, orders, and documentation.
  • Troubleshoot and resolve clinical workflow issues, using specialty knowledge to distinguish a system issue from a workflow or documentation gap.
  • Escalate complex technical or clinical workflow issues to the appropriate internal team and follow through to resolution.
  • Document, track, and close customer cases in accordance with service-level agreements (SLAs).

Training & Education

  • Provide onboarding and ongoing training for clinicians and office staff on EMR features, updates, and specialty-specific best practices.
  • Develop and deliver educational materials such as quick-reference guides, FAQs, webinars, and training videos tailored to Allergy/Immunology and ENT workflows.
  • Conduct live Q&A and competency check-ins to reinforce understanding of clinical workflows and system updates.

Workflow Optimization

  • Analyze client clinical workflows to recommend EMR configurations and specialty-specific best practices.
  • Collaborate with product and development teams to provide clinical feedback for system enhancements, especially those affecting allergy or ENT documentation and coding.
  • Assist with clinical documentation customization, including allergy testing/immunotherapy protocols and ENT procedure templates, during new client onboarding.

Compliance & Quality

  • Ensure client usage of the EMR complies with HIPAA, HITECH, and other relevant healthcare regulations.
  • Stay current on clinical documentation standards, coding requirements (including CPT codes relevant to allergy/immunology and ENT), and regulatory updates that impact EMR workflows.
  • Provide clinical input on quality improvement initiatives to improve system usability and customer Client Site

  • Travel to client locations for on-site onboarding, training, and go-live support (approximately 25–50% domestic travel, as required by client projects).
  • Conduct in-person assessments of client workflows, infrastructure, and readiness for implementation.
  • Deliver hands-on training for clinical and administrative staff on billing processes, data entry, and compliance.
  • Provide on-site troubleshooting and issue resolution during go-live and post-implementation phases.
  • Represent ModuleMD professionally during every client visit, building trust and maintaining strong relationships.
  • Prepare visit reports summarizing training outcomes, issues identified, and next steps for internal teams.

Required Qualifications

RN license, or licensure as a Nurse Practitioner (NP) or Physician Assistant (PA).

Minimum 2–3 years of direct clinical experience in an Allergy/Immunology or ENT practice setting.

Working knowledge of clinical workflows such as allergy testing, immunotherapy administration, biologic therapy management, or ENT diagnostic and procedural documentation.

Prior experience using an EMR/EHR system in a clinical setting; experience supporting or training others on an EMR is a plus.

Strong verbal and written communication skills, with the ability to translate clinical workflows into system requirements for a non-clinical audience.

Comfort working cross-functionally with onboarding, support, and product teams in a fast-paced implementation environment.

Preferred Qualifications

Prior experience in EMR implementation, training, or customer success roles.

Familiarity with practice management/RCM workflows (scheduling, eligibility, claims) in addition to clinical documentation.

Experience with data migration or system configuration projects.

Working knowledge of HIPAA/HITECH compliance requirements as they apply to EMR use.

Travel Requirement: This position involves regular travel. Candidates based in or near following metropolitan areas will be preferred due to proximity to key markets and travel accessibility - Detroit, New York, Dallas, Houston, Chicago, Atlanta, Denver, or Fort Worth.

Work Environment

This is a remote position with occasional travel required to client sites to support go-live events. Standard business hours apply, with some flexibility needed to accommodate client training schedules across time zones.
