Position Summary

Synergy Siteworks is entering an exciting phase of growth and is looking for a highly organized Construction Project Coordinator to become the operational backbone of our construction team. This role supports projects from pre-construction through closeout, ensuring every detail is organized, documented, and moving forward.

You'll work closely with company leadership, project teams, subcontractors, vendors, and clients to coordinate schedules, manage documentation, support project finances, and keep communication flowing across multiple active projects. This is an excellent opportunity for someone who enjoys solving problems, building efficient systems, learning new technology, and taking ownership of meaningful work.

While this position is primarily remote, you'll spend approximately one day each week traveling throughout Central Florida for project meetings, site visits, networking events, and team collaboration.

What You'll Do
  • Create, organize, and maintain electronic project files and construction documentation.

  • Prepare project correspondence, reports, meeting agendas, and meeting minutes.

  • Manage project administration within Procore, including purchase orders, RFIs, submittals, drawings, tasks, and vendor documentation.

  • Process supplier invoices and assist with project financial tracking.

  • Coordinate material orders and monitor long-lead items to help keep projects on schedule.

  • Schedule vendors, subcontractors, inspections, and project meetings.

  • Track permits, licenses, inspections, and regulatory requirements.

  • Submit Notices to Owner (NTOs) and assist with compliance documentation.

  • Collect subcontractor invoices, pay applications, and lien waivers for management review.

  • Assist with owner, subcontractor, and vendor contract administration.

  • Coordinate project closeout documentation, warranties, manuals, and final deliverables.

  • Help develop scalable internal processes, workflows, and project checklists.

  • Support company marketing initiatives, vendor coordination, and networking events.

  • Assist with weekly OSHA toolbox talks and safety communications.

  • Contribute to a collaborative culture that reflects the company's values and commitment to exceptional client service.

Required Qualifications
  • 2+ years of experience in construction administration, project coordination, or a similar role within the construction or site development industry is required.

  • Experience using Construction Management Software.

  • Proficiency with Microsoft Office.

  • Experience using Google Suite.

  • Strong organizational skills with the ability to effectively prioritize multiple projects and deadlines.

  • Excellent written and verbal communication skills with a professional, collaborative approach.

  • Ability to work independently and remain productive in a remote work environment.

  • Strong willingness to learn new software platforms, workflows, and AI-powered productivity tools.

  • Current Notary License or willingness to obtain an electronic notary certification.

  • Willingness to travel throughout Central Florida approximately one day per week.

  • Valid driver's license and reliable transportation.

Preferred Qualifications (nice to have but not a requirement)
  • Experience with QuickBooks.

  • Bilingual in Spanish.

  • Experience supporting commercial site development or civil construction projects.

  • Experience developing operational processes, workflows, or scalable administrative systems.

  • $50,000-$80,000 annually, depending on experience.
