Monday-Friday (occasional evenings and weekends) Position is available for a hybrid telework workweek
POSITION PURPOSE:
Serves as the initial contact for retirement inquiries from employees. Responds to phone calls and emails from employees who need information pertaining to retirement and provides customer service to those who visit the office. Ensures employees gain an understanding of the necessary steps needed to retire. Provides clerical support for Human Resources-Salary and Information Systems administrators.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
  • Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, and Power Point; and Google Apps;
  • Excellent customer services skills;
  • Excellent organizational skills;
  • Ability to be discrete and maintain confidentiality;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to meet departmental and payroll deadlines;
  • Ability to minimize errors with attention to detail;
  • Ability to work independently, complete tasks, and exercise independent judgment in the absence of clear directives;
  • Ability to establish and maintain effective working relationships with school system staff and the public.

EDUCATION, TRAINING, AND EXPERIENCE
  • High school diploma or equivalent; AND
  • Experience in a clerical or human resources related area.

An equivalent combination of relevant education, training, and experience which provides the knowledge, skills, and abilities necessary to successfully meet the essential duties of the position may be considered.
CERTIFICATION AND LICENSE REQUIREMENTS
None
PREFERRED QUALIFICATIONS:
  • Two years of post-secondary coursework in Human Resources or related field;
  • Experience working with public employee pension plans;
  • Experience working with Oracle business applications;
  • Certification as a notary public in North Carolina.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  1. Responds to phone calls and emails from employees who need information pertaining to retirement. Directs employees to or delivers needed documents and information. Provides customer service to those who visit the office.
  2. Ensures employees gain an understanding of the necessary steps needed to retire via in-person and remote meetings, phone calls, and emails.
  3. Maintains a tracking system for all retirements. Reviews resignation and retirement documents for accuracy, completeness, and conformance to established procedures and state rules. Submits completed retirement forms to the Oracle Processing Team (OPT) and Compensation Services after authorized by the senior administrator. Completes and sends retirement letters to employees.
  4. Works with the senior administrator to research specific retirement questions, concerns, and issues in order to provide answers and/or resolutions. Helps to generate and update informational materials to address frequent questions.
  5. Helps to prepare and run semiannual retirement seminars for inquiring Wake County Public Schools (WCPSS) employees.
  6. Works with the senior administrator to distribute gifts to retiring employees. Tracks responses and maintains historical order data.
  7. Generates letters verifying unpaid status over summer months for requesting employees.
  8. Provides clerical support for Human Resources-Salary and Information Systems administrators.
  9. Performs other related duties, as assigned.

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff and the public. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
