Job Title: Administrative Assistant I โ€“ HR & Offer Operations
Location: 100% Remote, Canada, Support EST and PST Hours
Job Type: T4 Contract
Experience: 1 to 3 Years
Rate: CAD 18 to 20 PH

Role Summary

NearSource is looking for an Administrative Assistant I โ€“ HR & Offer Operations to support critical hiring and onboarding activities tied to M&A operations. This role focuses on offer management, documentation workflows, HR systems coordination, and post-acceptance processes while ensuring accuracy, compliance, and timely execution across multiple hiring initiatives.

Key Responsibilities

  • Support offer creation, testing, extension, and post-acceptance workflows for M&A hiring activities
  • Provide the latest country-specific offer templates and documentation packages to M&A Operations
  • Share updated DocuSign offer packets and required inclusions for country-specific hiring
  • Inform M&A Operations leadership of current country-specific hiring workflows and operational requirements
  • Draft offer letters and offer summaries based on approved inputs
  • Test deal-specific DocuSign envelopes for accuracy, functionality, and compliance
  • Extend non-key offers to candidates in a timely and professional manner
  • Maintain and update offer acceptance trackers, including Airtable records
  • Upload signed offer letters and supporting documentation into Workday profiles
  • Coordinate administrative hiring activities while maintaining data accuracy and confidentiality
  • Support fast-paced recruiting operations with strong attention to detail and execution quality

Must-Have Skills

  • Experience supporting recruiting, talent acquisition, or HR operations teams
  • Hands-on experience drafting offer letters and offer summaries
  • Proficient with HR systems, CRMs, scheduling platforms, and digital workflow tools
  • Experience working with DocuSign or similar electronic document management platforms
  • Strong organizational and time-management skills
