Job description

At NorthBay Health, the Manager, Legal Operations works under the direction of the General Counsel and is responsible for the operational, administrative, and strategic support of the Legal Department. This role focuses on optimizing legal department processes, managing legal technology and vendors, overseeing contract and matter management systems, supporting budgeting and reporting, and driving efficiency, consistency, and compliance across legal operations.

The Legal Operations Manager partners closely with attorneys, paralegals, compliance, finance, IT, and other stakeholders to ensure the Legal Department operates efficiently, cost-effectively, and in alignment with organizational goals.

PRIMARY JOB DUTIES

  • Oversees day-to-day legal department operations, including workflow management, matter intake, prioritization, and tracking.

  • Manages legal technology platforms, including contract lifecycle management (CLM), document management systems, and legal research tools.

  • Develops, maintains, and improves legal department processes, templates, and standard operating procedures.

  • Coordinates contract management processes, including intake, assignment, tracking, reporting, and data quality oversight.

  • Serves as the primary point of contact for outside counsel and legal vendors regarding operational matters, billing guidelines, and performance metrics.

  • Prepares dashboards, reports, and presentations related to legal workload, turnaround times, risk trends, contract volume, and cost metrics.

  • Supports attorneys with project management for complex initiatives, including regulatory responses, system implementations, audits, and litigation support.

  • Assists with implementation, revision, and training related to legal policies, procedures, and compliance requirements.

  • Coordinates legal department training, onboarding, and knowledge management initiatives.

  • Collaborates with IT, Compliance, Risk Management, and other departments on cross-functional legal and operational initiatives.

  • Performs other duties as assigned.

Compensation Structure

NorthBay Health uses a structured compensation framework. Staff-level positions use a step-based system (Steps 1-5) based on years of directly related experience, with Step 5 representing 20 or more years of experience in the role. Manager level and above positions are paid a fixed annual base salary and are eligible for a variable incentive compensation plan. Physician compensation is structured based on specialty and role requirements.

Remote Work Disclosure

NorthBay Health is primarily an onsite organization due to the nature of healthcare. Some roles may allow hybrid or remote work based on business needs.

Remote work is not supported in Washington, Ohio, Wyoming, North Dakota, Puerto Rico, the U.S. Virgin Islands, or outside of the United States.

Education 

  • Bachelor's degree in business administration, legal studies, healthcare administration, or a related field required.

  • An Advanced degree or a paralegal certificate is preferred but not required.

Licensure and/or Certification:

  • Legal operations, project management, or process improvement certification highly preferred.

Experience: 

  • Five (5) years of progressively responsible experience in legal operations, contract management, project management, or legal department administration.

  • At least two (2) years of experience supporting attorneys in a healthcare, hospital, or regulated environment preferred.

  • Experience with legal technology platforms (e.g., contract management platform) strongly preferred.

Skills: 

  • Excellent verbal and written communication skills.

  • Strong understanding of legal department operations, contract workflows, and legal service delivery models.

  • Demonstrated ability to manage complex projects, multiple priorities, and tight deadlines.

  • Strong analytical, reporting, and data interpretation skills.

  • Excellent organizational skills with strong attention to detail.

  • Ability to work effectively in a fast-paced, highly regulated environment.

  • Ability to maintain confidentiality and exercise discretion and sound judgment.

  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word), Adobe Acrobat, and collaboration/project management tools.

  • Experience with healthcare IT systems and enterprise platforms (e.g., Epic, SharePoint, SmartSheets) preferred.
